Job Description

This role is to provide a facility with a smooth operation of the mailroom and courier.

• Accurately distribute inter-departmental mail
• Process all daily in and out-bound mail
• Assist in investigating any claims of undelivered or misrouted mail
• Be a resource to other departments in determining the most cost effective means of mailing packages
• Facilitate all conference room reservations including setup & takedown of any required furniture and managing reservation
• Function as the lead point of contact to address and resolve any mail, courier, or records related issues or requests both internally and with outside vendors.
• Routinely review mailroom procedures for accuracy as well as identify areas for improvement. Make all necessary corrections or proposals as needed and ensure implementation of any changes
• Deliver equipment, supplies and mail as needed throughout to nearby Wood locations using the Wood supplied vehicle.
• Distribute copy paper to copier and printer stations as needed.
• Assist in monitoring buildings and grounds to ensure that all areas are clean, safe, and fully operational.
• Assist with workstation or office moves
• Conference room request, which includes coffee & water setup, wiping down white boards, replacing markers, batteries for clock as needed.
• Maintaining all kitchens and coffee bars with proper stocking needs, calling for repairs for coffee unit, ice & water units, vending machine, monthly fridge cleaning
• Replacing ink on copiers, plotter
• Cleaning coffee carafes as needed
• Sort and distribute any postal and courier mail that is delivered
• Maintaining office supplies as needed for company use

Qualifications:

• Ability to use and navigate through Microsoft Office products.

• Ability to file both alphabetically and numerically

• Attention to detail

Knowledge, skills and experience:

• High school diploma or equivalent
