Job Description

KEY RESPONSIBILITIES

1. FACILITY & WORKPLACE MANAGEMENT

  • Coordinate and oversee daily facility operations across warehouse and office areas.
  • Ensure the site is maintained to a high standard in terms of cleanliness, safety, and functionality
  • Act as the first point of contact for all facility-related matters
  • Monitor and report maintenance issues, ensuring timely resolution

2. VENDOR & CONTRACTOR MANAGEMENT

  • Coordinate external service providers including:
    • Cleaning services
    • Security services
    • Waste management
    • Maintenance contractors
  • Ensure contractors comply with site rules, safety requirements, and company policies
  • Monitor service quality and escalate issues where required

3. HEALTH, SAFETY & COMPLIANCE (ARBO)

  • Support compliance with Dutch Working Conditions Act (Arbeidsomstandighedenwet – Arbowet)
  • Ensure workplace safety standards are maintained in both warehouse and office environments
  • Assist with site inspections, audits, and corrective actions
  • Maintain clear walkways, safe access, and appropriate signage
  • Support emergency procedures (e.g., evacuation coordination, visitor logs)

4. ADMINISTRATIVE SUPPORT

  • Provide general administrative support to site management
  • Maintain records related to facility services and vendors
  • Support internal reporting (e.g., maintenance logs, service records)
  • Coordinate internal communications related to workplace updates

5. SECURITY & ACCESS CONTROL

  • Support site access control processes (badges, visitor registration, contractor access)
  • Ensure adherence to security procedures in line with company and customer requirements
  • Monitor and report any security or access-related concerns

Physical Requirements:

  • Talking, hearing and using hands to operate computer equipment
  • Vision abilities required by this job include close vision and the ability to adjust focus

Experience and Skills:

  • 2–5 years’ experience in a similar role (facility, office, or site coordination)
  • Experience in a logistics, warehouse, or operational environment is preferred
  • Strong organizational and coordination skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Confident working with external vendors and internal stakeholders
  • Basic understanding of Dutch health & safety (Arbo) requirements
  • Awareness of workplace compliance and safety standards
  • Experienced in general administrative processes.

Certifications and Licenses:

  • Professional certification may be required in some areas.
