Job Description

GE Aerospace Systems Australia conducts repairs on both Civil and Military Aviation components for the APAC region. This role is a vital member of our team providing essential support to ensure the smooth and efficient operation of both the Facility, Security and Administration Services.
This role provides provisions for the business and administration support for the Brisbane site, with a focus across three key areas:
1- Administration support- Reception management, reports, filing, record keeping, general administration, events coordination, data entry and accounting support functions. Managing the purchasing and coordination of third-party support services or ad hoc business equipment, including requesting and assessing quotes.
2- Facility/Contractor management- oversee all facets of facility and equipment maintenance and liaise with contractors as required to complete works. This includes inductions to facilitate onsite supervision, working with our workshops and Brisbane Airport to maintain supplier and compliance tracking systems and oversee the Tech library.
3- Security Focal- Oversee physical security operations across all company locations and work with site leads for implementation. Conduct routine audits, training, tasks and reporting tools to ensure standard requirements are met. Support the Crisis Management Team activities and help lead standard tasks execution.

This role is a key contributor to the smooth, compliant, and efficient operation of our Brisbane site by stewarding our workplace environment, administrative services, and physical security posture. The position drives a professional front-of-house experience and reliable business support; ensures facilities, equipment, and vendor partnerships enable safe, high-quality operations; and maintains effective security governance in coordination with site and functional leaders. Acting as a central point of coordination, the role aligns day-to-day site operations with business needs, strengthens readiness and resilience, and upholds standards that support our commitments to Safety, Quality, Delivery, and Cost. It requires strong judgment, stakeholder engagement, and continuous improvement mindset to anticipate needs, manage risk, and enable teams to perform at their best.

Key Responsibilities:

Communication & Front Office

  • Manage all correspondence (email, calls, mail) and route or respond promptly.
  • Coordinate meetings and events, including rooms, logistics, guests, and materials.
  • Prepare and distribute accurate agendas, minutes, and related documents.
  • Perform clerical tasks (scanning, copying, filing) to support daily operations.

Records, Data & Filing

  • Maintain accurate records, filing systems, and databases with data integrity and confidentiality.
  • Track facility activities, work orders, schedules, and spend; generate performance reports.

Facilities & Vendors

  • Coordinate facility maintenance, repairs, and upgrades with vendors and contractors, on time and on budget.
  • Conduct routine facility inspections; identify issues and drive corrective actions.
  • Monitor inventories (office, cleaning, maintenance, safety) and manage procurement and replenishment.
  • Oversee cleaning and hygiene services to required standards.
  • Respond to facility incidents and emergencies to minimize risk and disruption.

Safety, Quality & Compliance

  • Support safety inspections and audits; implement corrective actions to meet regulatory and industry standards.
  • Support regulator audits, technical library duties, and the Quality Management System.
  • Perform periodic logistics and customs supplier quality performance audits.
  • Adhere to company policies on administrative processes, confidentiality, and information security.

Security

  • Oversee physical security operations across all company locations and work with site leads for implementation.
  • Conduct routine audits, training, tasks and oversee reporting tools to ensure standard requirements are met.
  • Support the Crisis Management Team activities and help lead standard tasks execution.

Required Qualifications:

Diploma level qualification in business administration, facilities management, security management, or related field (or equivalent experience) with proven experience in an administrative support role and basic facility management.

Preferred Qualifications:

  • Cross-functional collaboration with internal teams and external vendors, landlords, and authorities
  • Strong problem-solving under time pressure; identifies risks and drives corrective actions
  • Excellent organization and time management; able to prioritize, multitask, and meet deadlines
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and related tools
  • Clear, professional communication and interpersonal skills with internal and external stakeholders
  • High attention to detail, accuracy, and quality record-keeping
  • Self-starter who works independently and in teams with initiative and flexibility
  • Discretion and confidentiality with sensitive information
  • Adaptable; quick to learn new tasks, procedures, and technologies
