JOB DESCRIPTION

Position Title: Extra-Curricular Mentor/Transitional Trainer for Long-Term Substitute Teachers

Reports To: School Principal and/or Designee

Employment Status: Extra-Curricular Assignment

Compensation: $40.00 an hour and up to 3 hours per month

Work Schedule: Hours must occur outside the regular instructional workday. Documentation of mentoring activities is required and shall be submitted monthly to the principal or designated supervisor.

Position Purpose

The Extra-Curricular Transitional Trainer for Long-Term Substitutes will provide support and training to staff members who are new to a school or district role. Trainers will assist with onboarding by sharing essential knowledge of school and district policies, procedures, processes, and job responsibilities. All duties must be performed outside the trainers' contract hours and without interference with their primary responsibilities. Due to the nature of the role, trainers must also demonstrate a high level of professionalism and maintain confidentiality at all times.

The trainer serves as a resource person and coach, providing constructive feedback and support designed to improve instructional effectiveness, student engagement, and overall success within the school community.

Essential Duties and Responsibilities

Orientation and School Integration

  • Assist long-term substitutes in becoming familiar with school and county expectations.
  • Provide a school orientation including building procedures, staff introductions, schedules, and daily operations.
  • Explain county and school policies, procedures, and reporting requirements.
  • Assist substitutes in locating instructional materials, supplies, technology, and support personnel.
  • Ensure understanding of emergency procedures, safety plans, and student supervision responsibilities.

Professional Support and Coaching

  • Meet regularly with the assigned substitute outside the instructional day.
  • Provide ongoing encouragement, motivation, and professional guidance.
  • Model professionalism, effective communication, and ethical practices.
  • Offer constructive feedback focused on continuous improvement.
  • Help establish professional goals and monitor progress.

Instructional and Classroom Support

  • Assist with lesson planning, differentiation, and student engagement techniques.
  • Provide guidance regarding grading practices, attendance procedures, and recordkeeping.
  • Assist substitutes in understanding student needs, including accommodations, modifications, and intervention requirements as appropriate.
  • Discuss strategies for creating positive relationships with students and families.

Resources and Problem-Solving

  • Identify instructional resources and professional learning opportunities.
  • Help connect substitutes with appropriate county departments and school personnel.
  • Assist with locating educational materials, technology tools, and curriculum resources.
  • Provide support when challenges arise related to classroom management, student behavior, communication, or organizational issues.

Documentation and Compliance

  • Maintain logs of mentoring activities.
  • Document meeting dates, times, topics discussed, and action steps.
  • Submit required documentation according to county procedures.
  • Maintain confidentiality of student and personnel information.
  • Follow all applicable county, state, and federal requirements.

Documentation Requirements

The mentor shall maintain:

  1. Monthly mentoring log.

  5. End-of-assignment summary report.

Required documentation must be submitted to the school principal and retained according to county procedures.

Qualifications

  • Valid West Virginia Professional Teaching Certificate.
  • Minimum of three years of successful teaching experience preferred.
  • Demonstrated knowledge of county policies and procedures.
  • Strong communication, collaboration, and coaching skills.
  • Ability to provide constructive feedback in a positive and professional manner.
  • Ability to maintain confidentiality and professional relationships.
