About the opportunity
We are seeking a proactive and highly organised External Engagement Assistant to provide a wide range of administrative and event support to the External Engagement team within the Business School. This role is integral in ensuring the smooth delivery of day-to-day operations, supporting key projects, and coordinating events and stakeholder engagement activities.
You will play a key role in managing administrative processes, coordinating meetings and events, processing invoices, and supporting project planning initiatives. This is a fast-paced and collaborative environment, ideal for someone who is process orientated, enjoys admin-focused work, thrives on organisation, and is confident engaging with both internal and external stakeholders.
Your key responsibilities will be to:
• provide high-quality day-to-day administrative support including calendar management, correspondence handling, and general coordination
• support the planning and delivery of events, including bookings, invitations, catering, and RSVP management
• process invoices and expenses using Concur and assist with financial administration activities
• maintain and update systems such as Salesforce, Asana, and shared databases, ensuring accurate record keeping and communication management
• assist with project planning, tracking timelines, preparing reports, and monitoring budgets
• build and maintain effective relationships with stakeholders and support communication across role-based accounts and external partners.
About You
• demonstrated experience in administrative support
• strong organisational and time management skills with the ability to manage multiple priorities
• experience with invoicing, purchasing, and systems such as Concur, Salesforce, Asana or similar platforms
• event coordination or event support experience (highly valued)
• excellent communication skills with confidence engaging with a range of stakeholders
• proactive approach with strong attention to detail and ability to use initiative.
