Must‑Have Experience :

  • 3–5 years of experience in Export Operations, Logistics, or International Trade.
  • Strong knowledge of Saudi export regulations, SFDA processes, COO/HC legalization, and customs procedures.
  • Experience handling land and sea exports, including GCC cross‑border shipments.
  • Hands‑on experience with export documentation, insurance declarations, and government portals.
  • Familiarity with Smartsheet, ERP systems (SAP preferred), and export tracking tools.

Technical Skills

  • Proficiency in:
    • Proforma Invoice preparation and Export Shipping documents
    • Export Insurance Declaration
    • Export trackers & Smartsheet
    • Freight forwarder invoice verification
  • Strong Excel skills (VLOOKUP, Pivot Tables, data accuracy).

Soft Skills

  • High attention to detail and accuracy in documentation.
  • Strong communication with internal teams, freight forwarders, and government authorities.
  • Ability to work under pressure and manage multiple shipments simultaneously.
  • Problem‑solving mindset and ownership of end‑to‑end export processes.
  • Customer‑centric approach with proactive follow‑up.

Education

  • Bachelor’s degree in Logistics, Supply Chain, Business Administration, or International Trade

– (KSA)

Role Purpose

The Export Specialist is responsible for managing end‑to‑end export operations, ensuring full compliance with Saudi and international regulations, accurate documentation, timely shipment execution, and smooth coordination with internal teams, freight forwarders, and government authorities. The role supports both land and sea exports, including re‑export activities, and ensures accurate reporting and insurance compliance.

🔹 Key Responsibilities

1. Export Documentation & Compliance

  • Prepare and issue Proforma Invoices for export orders.
  • Manage Export Insurance Declarations and ensure all shipments are covered as per company policy.
  • Handle SFDA notifications, Health Certificates, and all required regulatory documents.
  • Ensure full compliance with Saudi Customs, SFDA, Chamber of Commerce, and country‑specific export requirements.

2. Shipment Execution (Land & Sea)

  • Prepare loading plans and coordinate with warehouse, transporters, and freight forwarders.
  • Arrange bookings for land and sea shipments and ensure timely dispatch.
  • Follow up on container movements, transit updates, and delivery confirmations.
  • Coordinate with transporters for cross‑border, and GCC re‑export shipments.

3. Export Legalization & Government Processing

  • Manage Export Invoice Legalization, Certificate of Origin (COO), and Health Certificate (HC) issuance.
  • Coordinate with Chamber of Commerce, Ministry of Commerce, and other authorities for document stamping and approvals.

4. Claims & Issue Resolution

  • Handle export claims, including shortages, damages, insurance claims, and documentation discrepancies.
  • Coordinate with freight forwarders, insurance providers, and internal teams to close claims efficiently.

5. Reporting & Systems

  • Update and maintain the Export Tracker with shipment status, documentation, and delivery timelines.
  • Process and verify supplier/transporter invoices (freight forwarders, express couriers, land transporters).
  • Maintain and update Smartsheet for export operations, ensuring accuracy and visibility.
  • Support monthly reporting for export KPIs, cost tracking, and performance dashboards.

6. Cross‑Functional Coordination

  • Work closely with Sales Operations, Warehouse, Finance, and Supply Chain teams to ensure smooth export flow.
  • Support customers and distributors with shipment visibility, documentation, and regulatory requirements.
