Job Description

Responsible for coordinating and managing the company's export operations, from supply planning through final delivery to the customer. The role involves close collaboration with internal departments, customers, freight forwarders, and customs brokers. Responsibilities include monitoring customer inventory, preparing and reviewing export documentation, coordinating shipments, and providing ongoing operational support for the export and international logistics function.

Key Responsibilities

Export Shipment Operations

• Coordinate ocean, air, and courier shipments.
• Open export files in the Priority ERP system.
• Book shipments with international freight forwarders.
• Obtain freight quotations as needed and submit them for review and approval.
• Coordinate cargo pickups with the warehouse and freight forwarders.
• Track shipments and provide status updates until final delivery.
• Handle shipment exceptions in coordination with relevant stakeholders.

Export Documentation

• Prepare export shipping documents, including Commercial Invoices and Packing Lists.
• Review and approve Certificates of Origin (COO) with freight forwarders.
• Review and approve shipping documents (Air Waybill (AWB), Bill of Lading (B/L), etc.).
• Prepare additional documentation according to customer requirements and regulatory standards.
• Ensure the accuracy and completeness of all export documentation.

Inventory Management & Supply Planning

• Coordinate customer orders with available inventory.
• Monitor open orders and plan deliveries based on inventory availability and quality release.
• Coordinate delivery schedules with customers and internal departments.

Cross-Functional Collaboration

• Work closely with Production, Planning (PPC), Warehouse, Quality Assurance, Regulatory Affairs, Finance, and Customer Service teams.
• Coordinate with international freight forwarders, shipping lines, airlines, and customs brokers.
• Maintain ongoing communication with domestic and international customers.

Information Management & Documentation

• Maintain accurate shipment records in company information systems.
• Ensure organized documentation of export files and correspondence with customers, freight forwarders, and other stakeholders.
• Generate reports and monitor key operational data as required by the department.

Process Control & Operational Support

• Monitor the progress of shipments and customer orders.
• Identify and report discrepancies or exceptions, escalating issues when necessary.
• Perform additional operational tasks and support activities as required by the department.

Requirements

Education

• Bachelor's degree in Logistics, Supply Chain Management, or a related field – an advantage

Experience

• Previous experience in export, import, international freight forwarding, or logistics – required

Professional Knowledge

• Basic knowledge of export and international shipping processes.
• Familiarity with Incoterms
• Basic knowledge of export documentation.

Systems

• Excellent proficiency in Microsoft Office, with a strong emphasis on Excel
• Experience working with the Priority ERP system.

Languages

• Hebrew – Native proficiency.
• English – Very good written and verbal communication skills, with the ability to communicate effectively with customers, suppliers, and international stakeholders.
