$55,000.00 - $71,400.00The Export Documentation Specialist is responsible for the accurate and timely execution of international shipping documentation for Blue Diamond Growers’ ingredient business from various U.S. locations. This position serves as the department expert on country-specific export documentation requirements, ensures compliance with customs and regulatory requirements, supports international customers and account representatives, and helps identify process improvements within the documentation function. The role also assists with selecting, training, and overseeing seasonal temporary employees during peak business periods.

RESPONSIBILITIES:

ESSENTIAL JOB FUNCTIONS

  • Prepare accurate and detailed documentation for export shipments in a timely manner.
  • Maintain current knowledge of export requirements and regulatory changes that may affect ingredient shipments.
  • Oversee compliance with documentation and customs requirements for international shipments to support the smooth delivery of product to customers.
  • Build relationships with external agencies, attend export compliance training, and communicate relevant regulatory updates to the Ingredient Account Management team.
  • Serve as the Blue Diamond Growers administrator for USDA Phytosanitary Certificate issuance and tracking through the Phytosanitary Certificate Issuance and Tracking System (PCIT); train and mentor other users as needed.
  • Address and resolve customer concerns using sound problem-solving and critical-thinking skills.
  • Prepare courier pouches containing shipment documents for freight forwarders and monitor the return of completed documents.
  • Track shipments for which the container has arrived but payment has not been received, and notify the appropriate Account Representatives.
  • Support Account Representatives with order entry and prepare or review labels for export shipments as business needs allow.
  • Partner with Information Technology and the Account Representative team to identify and implement time- and cost-saving opportunities within the documentation process.
  • Assist with selecting, training, and overseeing temporary employees during the busy season.
  • Train Account Representatives to prepare documentation for their assigned accounts when coverage is needed.

MINIMUM JOB REQUIREMENTS

  • Associate degree.
  • Four years of experience preparing export and domestic documentation in addition to the required education.
  • Six years of experience preparing export and domestic documentation may be considered in lieu of the degree requirement.
  • No additional certifications or licenses are required.

PREFERRED SKILLS AND EXPERIENCES

  • Experience preparing a wide variety of export documentation for multiple countries.
  • Experience working with U.S. and foreign government agencies regarding export shipping, customs clearance, and regulatory compliance.
  • Knowledge of basic international shipping and documentation terminology.
  • Strong organizational skills, attention to detail, and the ability to effectively prioritize competing demands.
  • Experience working with international Incoterms and payment terms.
  • Ability to build cooperative partnerships with customers and stakeholders inside and outside the organization.
  • Experience working in an enterprise resource planning system; SAP experience preferred.
  • Strong team orientation with the ability to recommend and implement process improvements.
  • Excellent verbal and written communication skills, with the ability to work independently and resolve issues with minimal direction.
  • Advanced proficiency with Microsoft Office, including Excel and Word, and experience with Foxit PhantomPDF.
  • Experience leading projects.

SUPERVISORY RESPONSIBILITIES

  • No regular direct reports. The position assists with selecting, training, and overseeing seasonal temporary employees during peak periods.

  • Regularly required to communicate in person and by telephone.
  • Regularly required to use hands repetitively to operate standard office equipment and to reach with hands and arms.
