Job Description

We are looking for a Documentation Representative that will handle the following:

To handle end to end Documentation issues in terms of Shipping Instructions, Draft BL, Manifest, Correctors, monitor freighting and collections to be done, Express Release, EBL as well as solving any documentation issue.

Shipping Instruction

• Coordinate with shippers the SI submission on time to prepare the draft BL
• Control any deviation from Zim Procedures in terms of BL clauses before printing OBL
• Draft submission and amendment
• To issue OBL within 24hs vessel departure
• Handle any docs corrector (Customs, Manifest, OBL)

Freighting and Printing

• Match auto-freight from AT with Agency Collections systems to detect any difference
• Check with ZIM offices any difference vs agreements
• Invoice ordering and printing
• Submit to Back Office OBL within 24hs from departure

Documentation

• Handle Impo/Expo manifest on time
• A/N preparation and sending
• Match full info of loading/discharge list with Terminal lists
• Submission of Expo Manifest no later than 24hs of vessel departure
• Handle Impo/Expo corrector within 24hs or before Customs declaration.
• Demurrage billing

Internal Interfaces

• Coordination with Finance to match collections to be done
• Propose solutions to problems and bottle neck measuring clients´ special needs
• Have regular coordination meetings with CSM/CSR
• Have regular meetings with Back Office (Collections company) to solve any problem

Requirements

Academic Education. International Trade

Working experience in a global company / Shipping industry-advantage.

Proficient in MS office, Excel in particular.

High control of English language (Speaking, reading and writing
