The Export coordinator is responsible for managing the full export order lifecycle, ensuring accurate and timely fulfilment for B2B customers globally. This role involves overseeing export operations, maintaining compliance with international regulations, and supporting cross-functional teams to deliver exceptional customer service. The Export coordinator should have strong cross functional relationships by engaging more with operations and other departments, increasing visibility, and building confidence in communication to drive soother collaboration and delivery.

  • Reporting directly into the Export Lead. You will be the main point of contact for all customers, vendors, and departments in a timely manner to ensure smooth deliveries for day to day operations.
  • Provide Export Operations support to the Sales, Marketing and Finance teams within the business.
  • Enter orders and coordinate the fulfilment process from order entry through to delivery.
  • Book transport, manage exports, plan packing operations and support customers.
  • Analyse data and processes, develop creative solutions and generate reports.

How you will contribute

  • Oversee the end-to-end export process, from order receipt to final delivery, ensuring all customer and regulatory requirements are met.
  • Act as the primary liaison for export customers, vendors, freight forwarders, and internal departments.
  • Process and manage export orders in line with customer-specific SOPs, including creation of sales orders, warehouse shipments, and transfer orders.
  • Ensure accurate and complete export documentation (e.g., commercial invoices, certificates of origin, health certificates, packing lists).
  • Coordinate freight bookings, manage shipment tracking, and provide proactive updates to customers.
  • Maintain and update tracking and KPI reports related to export performance.
  • Ensure compliance with export regulations, collaborating closely with the Compliance Manager.
  • Foster a culture of accountability, continuous improvement, and customer-first thinking within the team.
  • Support Sales, Marketing, and Finance teams with export-related operations and reporting.
  • Manage returns (SRO creation), invoice queries, and pricing adjustments in coordination with the Finance team.
  • Own the onboarding process for new export customers and ensure smooth transitions.
  • Continuously review and improve export processes, incorporating feedback from the team and wider business.
  • Maintain accurate records of all export transactions, quotes, and documentation.

What you will bring

  • Proven experience in export operations within FMCG or B2B supply chain/logistics.
  • Strong understanding of international trade compliance and export documentation.
  • Highly organised with strong attention to detail and accuracy in processing orders and documentation.
  • Proactive problem solver with a hands-on, can-do attitude.
  • Confident communicator with excellent verbal and written communication skills.
  • Strong customer service orientation and ability to handle complex customer interactions professionally.
  • Analytical mindset with experience in data analysis and reporting (e.g., KPIs, performance metrics).
  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Comfortable using ERP systems for order processing and record keeping.
