Job Description

We're looking for a highly capable, self-directed, experienced Academic Coordinator to provide executive support, coordination, and administration to our Deputy Chief Executive – Academic Delivery and Research. This is a role at the heart of the academic operations, where precision, discretion, and initiative meet real impact across academic delivery, research, and academic support services.

What You'll Be Doing

  • Coordinate key committees, track decisions and quality actions, and professionally manage external reviews and NZQA site visits.
  • Support Heads of Department by tracking Team Performance Plans, compiling performance data into clear reports, and coordinating forums and meetings across the academic portfolio.
  • Consolidate information and reporting across the portfolio and represent the DCE's office at organisation-wide meetings and events.
  • Provide executive support to the DCE by coordinating priorities, managing the DCE's calendar and correspondence, preparing agendas, minutes, action plans and briefing materials to a high standard, and supporting routine financial administration, including reimbursements and reconciliations.

What You'll Bring

  • A Master's degree (or higher) in a relevant discipline.
  • Experience in a tertiary education or similarly regulated environment
  • Demonstrated experience in a senior administrative or executive support.
  • A sound understanding of tertiary education, academic governance, quality assurance, and academic administration.
  • A track record of preparing polished reports, agendas, minutes, and briefing materials.
  • Experience coordinating committees or governance meetings, including minute-taking and action tracking.
  • Financial administration experience including payments, credit card reconciliation, invoicing
  • Exceptional organisational skills and the judgement to manage a shifting workload with competing deadlines
  • A high level of initiative by anticipating needs and working autonomously
  • Excellent written and verbal communication skills
  • Discretion in handling sensitive and confidential information
  • Confidence with Microsoft Office, digital collaboration tools, and the demonstrated ability to leverage AI and other digital technologies to improve productivity, quality, and operational efficiency.
