Expeditor IV

Duration: 12 Months + Possible Extension
Location: Houston, TX 77079

High-Level Description

We are seeking an experienced Expeditor IV to support the Supply Chain function by expediting and tracking all aspects and deliverables for assigned items, including equipment and materials required for the completion of Purchase Orders, Contracts, and Projects.

The Expeditor will proactively manage assigned items by utilizing stakeholder meetings, systems, templates, and established processes to identify potential risks and support mitigation efforts. This position requires strong relationship-building skills and regular collaboration with vendors, Engineering, Project Teams, Contractors, Quality, Logistics, and other Supply Chain stakeholders.

Specific Accountabilities

  • Coach and mentor new hires, project team personnel, and new vendors on the expediting process.
  • Manage assigned equipment, materials, and logistics to ensure on-time readiness and delivery to site in alignment with project and construction schedules.
  • Manage vendor equipment/material documentation and logistics between vendors, Engineering/Engineering Consultants, and internal Project Teams to ensure timely review and approval.
  • Ensure all required vendor documentation is received accurately and completely, including drawings, RFIs, Inspection Test Plans (ITPs), Weld Procedure Specifications (WPS), and Final Vendor Data Requirements (VDRs).
  • Regularly review vendor fabrication schedules, ITPs, inspection reports, and other relevant vendor and Purchase Order information to identify and mitigate potential delays.
  • Notify key stakeholders of potential or actual delays and work with suppliers to resolve issues.
  • Schedule, coordinate, chair, and document vendor supply meetings and participate in project meetings as required.
  • Provide stakeholders with regular updates regarding equipment/material status, progress, and receiving status using established reporting formats.
  • Assist with reviewing and verifying invoices for accuracy when required.
  • Work with vendors and stakeholders to resolve freight claims, quantity shortages/overages, shipment errors, tagging issues, and related problems.
  • Communicate potential commercial and technical issues to Project Team members and other stakeholders.
  • Coordinate logistics for equipment/material deliveries to project sites and work with site construction teams to ensure proper readiness and off-loading arrangements.
  • Coordinate activities and maintain regular communication with key stakeholders.
  • Follow established processes to ensure expediting activities for assigned equipment/materials are properly centralized and managed.
  • Maintain accurate electronic records and expediting files to support timely Purchase Order and Contract closeouts.
  • Regularly consult with and report project, Purchase Order, and Contract status to the Team Lead and/or Manager.

Required Qualifications

  • 10+ years of relevant professional experience in a fast-paced environment.
  • Strong knowledge and hands-on experience with expediting best practices
  • Understanding of logistics, purchasing/procurement, and project documentation requirements
  • Strong knowledge of engineering and vendor documentation
  • Excellent interpersonal and relationship-building skills.
  • Strong coordination, multitasking, follow-up, and timeline management abilities.
  • Ability to manage multiple projects and processes with competing deadlines.
  • Strong customer service, problem-solving, and organizational skills.
  • Excellent verbal and written communication skills.
  • Strong attention to detail.
  • Equivalent combination of education, training, and professional experience will be considered.

Preferred Qualifications

  • Working knowledge of Microsoft Windows, Outlook, and Microsoft Office Suite
  • Experience with SharePoint, Oracle Cloud, and Salesforce is a plus.
  • Post-secondary education in a related field such as:
    • Project Management
    • Purchasing / Supply Chain Management
    • Business/Commerce
    • Finance
    • Business Administration
  • Willingness to work in an office environment with occasional/minimal travel to suppliers or other operational locations as required.
