At Arinex, we're looking for an enthusiastic and detail-oriented Exhibitor & Sponsor Services Coordinator to join our Conference Operations team based in either Sydney, Melbourne or Perth. In this Hybrid role, you'll work closely with sponsors, exhibitors, clients, suppliers, and internal teams to ensure every sponsorship and exhibition commitment is delivered seamlessly from planning through to onsite execution.

About the Role

As the primary point of contact for sponsors and exhibitors, you will coordinate sponsorship and exhibition deliverables across a range of conferences and events, ensuring contractual entitlements are fulfilled, relationships are nurtured, and exceptional event experiences are achieved.

This is a dynamic role combining client service, event operations and administration, project coordination, and onsite event delivery.

Key Responsibilities

  • Manage sponsorship and exhibition requirements for allocated events from planning through to onsite delivery.
  • Act as the main point of contact for sponsors and exhibitors, ensuring contracted entitlements are delivered accurately and on time.
  • Coordinate exhibition logistics, exhibitor manuals, booking forms, floorplans, supplier requirements, invoicing, purchase orders, and event documentation.
  • Build strong relationships with sponsors, exhibitors, suppliers, and stakeholders to foster satisfaction and repeat business.
  • Maintain accurate project information and reporting using EventsAIR and other business systems.
  • Support onsite event delivery, proactively resolving issues and ensuring a smooth experience for clients, exhibitors, delegates, and stakeholders.
  • Identify upsell opportunities and contribute to revenue growth across allocated projects.
  • Stay informed of industry trends, products, and suppliers to continuously enhance exhibition and sponsorship offerings.

About You

You'll be a highly organised professional who enjoys working in a fast-paced environment and takes pride in delivering outstanding service.

We are looking for someone who has:

  • Excellent communication and relationship management skills.
  • Strong organisational skills and the ability to manage multiple priorities and deadlines.
  • Exceptional attention to detail and a proactive approach to problem solving.
  • Confidence working with database systems.
  • A professional and client-focused approach.

It would be great if you also have:

  • Experience in conferences, exhibitions, events, hospitality, or related industries.
  • Qualifications in Event Management, Hospitality, or a related discipline.
  • Experience using EventsAIR.
