Position Title
Executive – Projects (Inventory Controller – Non-Trade)
Job Purpose
The Executive – Projects (Inventory Controller – Non-Trade) is responsible for managing, monitoring, and controlling all non-trade inventory utilized for retail store development, renovations, maintenance projects, and operational support. The role ensures accurate inventory records, timely availability of project materials, effective stock utilization, and compliance with inventory control procedures to support successful project execution across the retail network.
Key Responsibilities
Inventory Planning & Control
- Maintain accurate records of all non-trade inventory, including fixtures, fittings, equipment, tools, store supplies, and project materials.
- Monitor inventory levels and ensure the availability of required materials for ongoing and upcoming projects.
- Track inventory movements, including receipts, issues, transfers, returns, and disposals.
- Ensure inventory transactions are accurately recorded in the ERP or inventory management system.
- Establish and maintain appropriate minimum and maximum stock levels for frequently used project items.
Project Material Coordination
- Coordinate with Project Managers and stakeholders to understand material requirements and project timelines.
- Allocate and issue materials for store openings, renovations, relocations, and maintenance projects.
- Monitor project-related material consumption and identify variances against planned usage.
- Support project teams by ensuring timely availability of required inventory.
Warehouse & Asset Management
- Coordinate with warehouse personnel for proper storage, handling, and distribution of non-trade inventory.
- Ensure project assets and equipment are properly tracked and accounted for.
- Maintain records of reusable assets and oversee their redeployment across projects where applicable.
- Monitor aging inventory and recommend actions for utilization, transfer, or disposal.
Inventory Audits & Reconciliation
- Conduct regular cycle counts and periodic physical inventory audits.
- Reconcile physical inventory with system records and investigate discrepancies.
- Prepare variance reports and implement corrective actions to improve inventory accuracy.
- Support internal and external audits by providing inventory documentation and reports.
Procurement Coordination
- Collaborate with Procurement to initiate replenishment requests and ensure timely material availability.
- Review inventory requirements and support purchase planning activities.
- Follow up on deliveries and verify received quantities against purchase orders and specifications.
Reporting & Analysis
- Prepare regular inventory status reports, including stock levels, inventory valuation, aging analysis, and consumption trends.
- Analyze inventory utilization and recommend improvements to optimize stock levels and reduce excess inventory.
- Provide inventory-related insights to support project planning and budgeting activities.
Compliance & Process Improvement
- Ensure adherence to company policies and inventory control procedures.
- Maintain proper documentation for all inventory transactions.
- Identify opportunities to improve inventory management processes and operational efficiency.
- Promote best practices in inventory handling, storage, and asset management.
Qualifications
- Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, Commerce, or a related discipline.
- Professional certifications in Inventory Management or Supply Chain are an added advantage.
Experience
- 3–5 years of experience in inventory control, warehouse operations, supply chain, or project support functions.
- Experience in retail store development, fit-out projects, facilities management, or non-trade inventory management is preferred.
- Hands-on experience with ERP systems and inventory management software.
