Job Description

Position: Executive & Training Support Assistant

Number of hours: 10-20 hrs/week
Schedule: TBD

Key Responsibilities

  • Assist the CEO and CLO with day-to-day administrative tasks

  • Manage calendars, schedule meetings, and coordinate appointments

  • Handle email management, follow-ups, and correspondence

  • Prepare reports, presentations, and internal documents

  • Use AI tools to create proposals, training materials, and business documents

  • Support content development for workshops, webinars, and learning programs

  • Provide live support during webinars, workshops, and training sessions

  • Assist with participant management, chat moderation, and technical coordination

  • Be present on camera when required during sessions

  • Coordinate pre- and post-training logistics

  • Manage and update company pages on LinkedIn, Facebook, and Instagram

  • Schedule posts, monitor engagement, and respond to inquiries

  • Support branding and visibility efforts

  • Assist in coordinating light business development activities

  • Track leads, follow-ups, and client communications

  • Support proposal preparation and client onboarding processes

Qualifications

  • Proven experience in administrative, executive support, or similar roles

  • Familiarity with AI tools (e.g., ChatGPT or similar platforms)

  • Strong written and verbal communication skills

  • Experience supporting webinars, training, or online events is an advantage

  • Knowledge of the training or learning & development industry is highly preferred

  • Proficient in social media management (LinkedIn, Facebook, Instagram)

  • Highly organized, detail-oriented, and able to multitask
