Executive Support Officer, Ongoing Full-time, Sydney

This role is a Clerk Grade 05/06, with a base salary for this role starting at $102,936 to $113,579 plus superannuation, commensurate with experience.

About the Role

We are seeking a highly capable Executive Support Officer to partner with senior leaders and help drive the effective operation of Infrastructure NSW. This is a fast-paced and varied role that sits at the centre of strategic decision-making, requiring exceptional judgement, organisation and stakeholder management skills. You will work closely with executives, government agencies and senior stakeholders to ensure priorities are delivered efficiently and professionally.

Some of the key responsibilities for the role include:

• Acting as a trusted partner to senior executives, exercising judgement in managing competing priorities and emerging issues.

• Managing complex and dynamic calendars, ensuring executive time is aligned to strategic priorities.

• Coordinating meetings, workshops and stakeholder engagements, including preparation of agendas, briefing materials and follow-up actions.

• Preparing high-quality correspondence, presentations, reports and briefing materials for senior stakeholders.

• Anticipating executive requirements and proactively resolving administrative and operational issues.

• Maintaining effective records management practices and coordinating correspondence, travel and logistics.

• Building strong relationships across government and with external stakeholders to facilitate timely outcomes.

• Identifying opportunities to improve administrative processes, systems and ways of working.

About You

You are highly organised, proactive and adaptable, with experience supporting senior executives in a complex environment. You excel at managing competing priorities, exercising sound judgement and maintaining confidentiality when dealing with sensitive matters.

You build trusted relationships quickly, communicate with confidence and professionalism, and take pride in delivering high-quality work. You are comfortable working both independently and collaboratively and have a strong focus on anticipating needs rather than simply responding to requests.

Ideally, you will have:

• Experience supporting senior executives or leadership teams in government or a similarly complex organisation.

• Exceptional organisational and time-management skills.

• Strong written communication skills, including the preparation of briefings, correspondence and presentations.

• Advanced Microsoft Office proficiency and experience using records management systems.

• A proactive mindset with a continuous improvement focus.
