Job Description

Key Responsibilities:

Executive & Personal Support

  • Coordinate and execute personal and professional errands for executives (e.g., returns, package pick-ups, dry cleaning, etc.)
  • Manage food ordering, lunch runs, and catering pickup/drop-off for executives and small leadership meetings
  • Source, purchase, and coordinate delivery of gifts (clients, team members, personal requests)
  • Make reservations (dining, small group outings, personal appointments as needed)
  • Assist with ad hoc personal tasks that enable executives to stay focused on high-priority work
  • Anticipate needs and proactively handle requests with minimal direction

Day-to-Day Executive Convenience Support

  • Handle last-minute, time-sensitive requests (“can you grab this / pick this up / make this happen today”)
  • Assist with after-hours or early-morning requests as needed
  • Track and manage small recurring personal or administrative to-dos for executives
  • Provide on-the-ground support during internal events, leadership meetings, or offsites

Administrative Support

  • Assist executives with simple task follow-ups (reminders, quick coordination)
  • Help pull together basic materials or run copies/print/scan as needed
  • Process small reimbursements or purchase tracking (if applicable)
  • Support one-off projects or requests from leadership that require quick turnaround
  • Keep personal or executive-related items organized (receipts, orders, tracking info, etc.)

Catch-All Support

  • Step in wherever there are small but urgent gaps in support across the executive team
  • Take ownership of tasks that don’t clearly fall within another role but still need to get done
  • Act as a reliable, go-to problem solver for quick-turn needs
  • Maintain a “no task too small” mindset while exercising strong judgment and prioritization

Skills, Knowledge, & Expertise

Education

  • High school diploma or equivalent required
  • Associate’s or Bachelor’s degree in business, hospitality, or a related field preferred

Experience

  • 1–3+ years of experience in an administrative, personal assistant, hospitality, or support-oriented role
  • Experience supporting senior leaders or high-level stakeholders preferred
  • Experience handling errands, coordinating logistics, or managing time-sensitive requests is highly valued
  • Prior experience in a fast-paced, service-oriented environment (e.g., office, hospitality, operations) preferred

  • Time Management & Prioritization – Ability to quickly assess urgency and manage competing demands
  • Attention to Detail – Ensures accuracy and quality in execution of tasks and logistics
  • Basic Technical Proficiency – Comfortable using common workplace tools (email, ordering platforms, expense systems, etc.)

Benefits

  • Compensation: $60,000 - $75,000 / year
  • Eligible for discretionary benefits: performance bonus 10%
