The Executive Secretary provides high-level administrative, clerical, and confidential support to the Judge. The position ensures the efficient operations of the Judge’s chambers, manages sensitive information, coordinates communications between court staff, attorneys, and the public, and assists in the preparation of judicial documents, correspondence, and schedules.
Examples of duties
- Perform a wide variety of complex administrative and secretarial duties for the Judge
- Maintain the Judge’s calendar, schedule hearings, meetings and other judicial matters.
- Serve as a liaison between the Judge and attorneys, court personnel, other government agencies, and the public while maintaining confidentiality and professionalism.
- Prepare and manage case files and ensure all necessary documentation are properly filed and organized.
- Screen telephone calls, visitors and mail; provide information or direct inquiries as appropriate.
- Type, format, and process judicial opinions, decisions, and other legal documents accurately and within required timelines.
- Maintain confidential personnel, financial, and case-related records.
- Track case statuses, deadlines, and submissions to ensure timely judicial action
- Coordinate with the Clerk’s Office and Court Administration on matters of case management, scheduling, and courtroom operations.
- Assist with special projects, legal research, or administrative reports as assigned.
- Ensure compliance with court policies, rules, and ethical standards.
Qualifications
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong written and verbal communication skills
- High level of discretion, integrity, and professionalism in handling confidential information.
- Ability to work independently and exercise sound judgement
- Attention to detail and accuracy in document preparation.
- Proficient in the use of computers and technology, including Microsoft Office and data entry software.
Supplemental information
High school diploma or equivalent required; Associates degree or specialized training in administrative studies preferred.
Three (3) years of progressively responsible clerical or secretarial experience.
