POSITION GOAL

Provide high-level administrative and operational support to the Chief Auditor, ensuring efficient coordination of audit, Board-related, and executive functions. This role manages complex scheduling, confidential communications, and workflow coordination while serving as a key liaison among the Office of the Chief Auditor, District leadership, and external stakeholders.

ESSENTIAL PERFORMANCE RESPONSIBILITIES

The Executive Secretary to the Chief Auditor shall carry out the performance responsibilities listed below

• Provide confidential, direct support to the Chief Auditor by proactively coordinating District-wide initiatives and commitments with accuracy and discretion.
• Maintain and organize up-to-date information on department policies and programs and handle significant matters in accordance with established policies.
• Serve as liaison to the Chief Auditor, Board members, and executive leadership.
• Coordinate Board-related legal matters.
• Manage the Chief Auditor’s calendar, meetings, and access to ensure timely attention to high-priority matters.
• Coordinate Board meeting materials, support agenda review, and track follow-up actions arising from Board meetings and executive discussions.
• Monitor assigned work and directed tasks to ensure timely completion and appropriate follow-through.
• Collaborate with internal teams to align priorities and streamline workflows.
• Support department administrative functions and provide proactive daily status updates to management and external stakeholders, as needed.
• Complete special assignments, conduct research, and prepare reports.
• Plan, coordinate, and complete clerical and administrative activities, including backup support functions.
• Manage fiscal, personnel, purchasing, statistical reporting, and other key office functions.
• Coordinate conference arrangements, including location, date, and time; notify participants of discussion topics; and research and provide relevant background information.
• Review, prioritize, and route incoming correspondence to support timely responses.
• Draft correspondence for the Chief Auditor and executive staff, prepare summaries, reports, and other administrative documents.
• Manage incoming communication by using discretion and sound judgment to route inquiries, respond as appropriate, ensure requests from Board members, senior leadership, and key stakeholders are addressed promptly on behalf of the Chief Auditor.
• Manage the Chief Auditor’s complex calendar, including meetings, travel, and other commitments, and monitor the Chief Auditor’s availability to provide timely notice of urgent correspondence and events.
• Support special projects by researching, collecting, analyzing, and evaluating data for use as background material for staff, media, legal counsel, and other stakeholders.
• Process plans and follow through on contracts and proposed actions of a highly confidential nature.
• Provide functional leadership to clerical staff.
• Interact effectively with the public, staff, students, teachers, parents, and administrators using tact and sound judgment.
• Perform and promote all activities in compliance with the equal employment and non-discrimination policies of The School Board of Broward County, Florida.
• Participate in training programs offered to enhance the individual skills and proficiency related to job responsibilities.
• Review current developments, literature and technical sources of information related to job responsibilities.
• Ensure adherence to safety rules and procedures.
• Follow federal and state, as well as School Board policies.
• Perform other duties as assigned by the immediate supervisor or designee.

MINIMUM QUALIFICATIONS & EXPERIENCE

• A standard high school diploma or satisfactory completion of an approved General Educational Development (GED) Testing Program.
• A minimum of eight (8) years of related secretarial experience.
• Ability to establish and maintain effective working relationships with diverse groups including other employees, departments, and the general public.
• Experience composing correspondence independently and preparing reports in an articulate manner.
• Ability to exercise independent judgment and make decisions.
• Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
• Effective verbal, written, and communication skills.
• Advanced organization skills and keen attentiveness to detail.
• Computer skills as required for the position.

PREFERRED QUALIFICATIONS & EXPERIENCE

• An earned associate degree.
• Proficiency in shorthand.
• Bilingual skills.

SIGNIFICANT CONTACTS-frequency, contact, purpose

Frequently interacts with the Chief Auditor, School Board members, Superintendent, senior leadership, District staff, and the public to coordinate legal and administrative matters, ensure effective communication, and support the operations of the Office of the Chief Auditor.

PHYSICAL REQUIREMENTS

Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force as frequently as needed to move objects.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District's approved compensation plan. Length of the work year and hours of employment shall be those established by the School Board.
