About the Role

Responsible for providing secretarial / administrative support to executives

  • To assist Executive managing, coordinating, and maintaining daily schedules (meeting arrangement with client/ prospect, foreign visitor arrangement, travel arrangement and accommodation and coordinate related arrangements including for relevant Company visitors); composing business correspondence and follow them up; liaising with other Departments to generate requested outcomes and any other secretarial duties.
  • Exercise confidentiality, tact and diplomacy in supporting the executives
  • Arranging Executive meetings, issue agendas, attend internal meetings, take minutes, gathers information, contacts meeting participants and distribute approved minutes as directed and follow them up.
  • Coordinate with related department and support in preparing the material of business presentation and slides, correspondence (emails, faxes, and letters), documents (reports and specifications) with accuracy and considerable understanding in company policies and procedures.
  • Processing travel request form, travel expense claim, entertainment claim form, to monitor GOE & VE expenses expenditure with the GOE & VE budget by year end; ensure all expenses are within budget and approved by Executive related to budget; ensure all administration required is performed according to procedures.
  • Provide office support of Executive in order to ensure efficiency and effectiveness (monthly request: printing, stationary IT and Non-IT, and office equipment).
  • Participate in the development and implementation of secretarial standards, policies and practices for AIA
  • To perform other related duties as required.
