Executive Search Research & Coordination Specialist
LOCATION
CAN VANCOUVER
Key Responsibilities
1.Coordination & Search Administration
•
Participate in all client-facing calls including pitch meetings, follow-ups, contract negotiations, and SEL amendments.
•
Maintain ownership of signed SELs, ensuring quick and accurate dissemination to the search team.
•
Manage logistics for client communication, scheduling, and internal updates.
•
Ensure search documentation, SEL terms, salary ranges, and role nuances are accurately captured for the research team.
2.Early Research & Pipeline Acceleration
•
Immediately action pre-kickoff research upon SEL signing—leveraging context gathered from all preceding client conversations.
•
Build a preliminary longlist using internal databases, external tools, and market mapping.
•
Identify target industries, titles, and organizations based on the emerging mandate.
•
Prepare early market insights and role clarifications to inform kickoff discussions.
•
Flag potential challenges (talent scarcity, location constraints, compensation misalignment) early.
3. Candidate Outreach & Engagement
•
Develop and send initial outreach messages to prospective candidates prior to kickoff calls.
•
Conduct introductory screening calls to validate interest and high-level fit.
•
Summarize candidate insights for Managing Directors and Associates, highlighting key motivators, risks, and compensation considerations.
•
Coordinate candidate pipelines, ensuring timely updates, tracking, and communication.
4. Cross-Functional Collaboration & Knowledge Transfer
•
Facilitate seamless communication and collaboration between Managing Directors, Associates, and Researchers.
•
Ensure critical context from all client discussions flows accurately within the team.
•
Prepare materials for client kickoff and progress update meetings.
5. Process Improvement & Search Cycle Optimization
•
Contribute to shaping the early-research workflow and establishing new best practices to reduce search cycle time.
•
Help define success metrics for early engagement, response rates, and kickoff readiness.
•
Document learnings from each search to refine future pre-kickoff outreach.
Qualifications & Experience
•
Prior experience in search coordination, recruitment coordination, or a similar project-driven role preferred.
•
Strong research capability; familiarity with sourcing tools, and databases is an asset.
•
Excellent written and verbal communication skills, especially for candidate outreach and internal summaries.
•
Strong organizational skills, with the ability to manage multiple searches and stakeholders simultaneously.
•
High level of discretion, professionalism, and client-service orientation.
•
Interest in developing toward an Associate role within Executive Search.
•
Ability to leverage emerging technologies to improve efficiency.
