Location: Toronto

Compensation: $65,000 - $80,000

The compensation range disclosed represents an estimate of base salary and does not include discretionary bonuses or any overtime pay.

Candidate Profile

The Executive Projects Assistant supports strategic initiatives and executive-level projects that contribute to organizational growth, operational effectiveness, and business expansion. Working closely with senior leadership, the role provides project coordination, analytical support, administrative excellence, and process improvement assistance across a broad range of business priorities.

Key Responsibilities

Strategic Project Coordination

  • Support cross-functional projects related to operations, growth initiatives, market expansion, and continuous improvement.
  • Track project timelines, milestones, deliverables, and action items to ensure initiatives remain on schedule.
  • Coordinate activities between stakeholders and support effective project execution across multiple departments.
  • Identify project risks, barriers, and opportunities for process improvement.

Research, Analysis & Reporting

  • Conduct research and gather information to support strategic planning and decision-making.
  • Analyze data and synthesize findings into concise reports, summary documents, and executive presentations.
  • Develop and maintain Excel models, project trackers, dashboards, and reporting tools.
  • Translate complex information into clear and actionable insights for leadership.

Business Support and Negotiations

  • Support Team Leaders, Group Leaders, Principals, and project teams in assessing contract and business risk.
  • Participate in client or legal discussions when specialized risk expertise is required, while typically supporting the business rather than leading front-facing negotiations.

Process Improvement & Operational Support

  • Assist in the development and implementation of scalable workflows, systems, and operational processes.
  • Identify opportunities to increase efficiency, streamline communication, and improve project coordination.
  • Support the documentation and maintenance of business procedures, templates, and operational resources.

Executive & Administrative Support

  • Prepare executive presentations, briefing notes, agendas, reports, and meeting materials.
  • Maintain organized records, project documentation, and information repositories.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Anticipate leadership needs and support effective planning, organization, and communication.

Professional Qualifications

EDUCATION

  • Bachelor’s degree or equivalent in Business Administration, Commerce, Economics, or a related field.

EXPERIENCE

  • 2+ years of experience in project coordination, consulting, operations, administration, or a related field.
  • Experience supporting projects, preparing executive-level materials, and coordinating multiple priorities is considered an asset.
  • Experience in AEC industry, consulting, or other professional services considered an asset.

SKILLS

  • Advanced proficiency with Microsoft Office, particularly Excel, Word, and PowerPoint.
  • Experience creating reports, dashboards, trackers, and presentations.
  • Familiarity with Power BI, project management tools, and process documentation practices is considered an asset.
