
EXECUTIVE – PROCUREMENT ADMINISTRATION
JOB ACCOUNTABILITIES
Ensure full compliance with Hayleys Advantis Group Procurement Policies across all procurement activities.
Maintain oversight of approved vendor agreements for Sri Lankan Shipping Company Limited and Intermarc Marine Services, including timely renewal follow ups and systematic maintenance of contractual records.
Manage the supplier onboarding and registration process in strict accordance with Group Procurement Policies and governance standards.
Coordinate and conduct periodic vendor evaluations in line with approved guidelines, engaging relevant internal stakeholders to ensure objectivity and consistency.
Maintain comprehensive records of supplier quotations, evaluation documentation, and comparative analysis sheets for audit and reference purposes.
Ensure the effective operation and continuous improvement of the Quality Management System (ISO), Business Excellence (BE) framework, and other management initiatives.
Plan and conduct internal audits and facilitate external audits by coordinating required documentation and stakeholder participation.
Implement process improvement initiatives aligned with Business Excellence objectives and monitor their effectiveness, including the tracking of cost savings and operational efficiencies.
Coordinate closely with the Finance Team to ensure accurate, timely, and uninterrupted processing of vendor payments.
Prepare, submit, and follow up on CAPEX and OPEX approval requests in advance to support the timely procurement of spares and services.
Coordinate with the relevant teams on procurement related system enhancements and software development
Prepare and submit monthly Key Performance Indicator (KPI) reports covering identified procurement process metrics, including
Monitor compliance against internal KPIs and present consolidated monthly performance reports to management.
MINIMUM KNOWLEDGE/ EXPERIENCE / TRAINING / QUALIFICATIONS REQUIRED FOR POSITION
Bachelor's Degree in Business, Supply Chain Management approved by UGC or equivalent professional qualification.
1–3 years’ experience in procurement/logistics (shipping industry preferred).
Knowledge of procurement procedures, import/export regulations, and documentation.
Proficient in the use of SAP or similar ERP systems & MS Office applications.
Ability to work collaboratively in cross-functional teams and manage multiple projects simultaneously.
Strong communication, negotiation, and analytical skills.
Exposure in freight option / Custom policies & supply chain management would be an added advantage.
