Job Title: Executive / Personal Assistant (Email & Task Management Focus)

Salary: R10,000 per month
We are seeking a highly organised, detail-oriented Executive/Personal Assistant to support a busy professional with day-to-day operations. This role is primarily focused on email management, task tracking, and maintaining a structured, efficient workflow.
This opportunity is ideal for someone who excels at turning communication into clear, actionable tasks, managing follow-ups, and ensuring nothing falls through the cracks.
Key Responsibilities
Email Management & Task Creation
- Review all incoming emails and convert them into actionable tasks
- Ensure every email is accounted for (tasked, flagged, or followed up)
- Maintain a clean, organised inbox
Task Management System
- Build and manage a task workflow system (e.g., Todoist or similar)
- Assign priorities, deadlines, and reminders
- Track all tasks and ensure timely completion
- Sync tasks with calendar scheduling
Follow-Ups & Accountability
- Proactively track outstanding items and send reminders
- Handle follow-ups as instructed
- Maintain visibility on all pending and completed tasks
Document & File Organisation
- Organise files and email attachments into structured folders (e.g., OneDrive)
- Maintain a clean and accessible document management system
Communication & Writing
- Draft emails, summaries, and reports
- Prepare weekly/monthly updates
- Edit and refine communication to a professional standard
Meeting Support
- Attend virtual meetings and take structured notes
- Summarise discussions and extract action items
- Convert meeting outcomes into tasks and follow-ups
Required Skills
- Excellent written and verbal English
- Strong organisational and time management skills
- Experience with email and task management tools (e.g., Outlook, Todoist, or similar)
- High attention to detail and ability to manage multiple tasks simultaneously
- Strong communication and responsiveness (Email, WhatsApp, Zoom)
- Ability to work independently and proactively
Preferred / Bonus Skills
- Experience in real estate or asset management
- Familiarity with AI tools and productivity platforms
- Strong research skills (vendors, market data, products, etc.)
- Experience setting up workflows, automations, or productivity systems
