Your Role as an Executive Operations Coordinator

We are seeking a highly organized, proactive, and resourceful Executive Operations

Coordinator to support our Chief Operating Officer (COO) at our Atlanta Corporate Office.

This role serves as a key operational and executive support partner to the COO,

helping manage priorities, facilitate communication, coordinate meetings and projects,

and ensure the smooth execution of day-to-day business activities.

The successful candidate will thrive in a fast-paced environment, anticipate needs,

maintain exceptional organization, and provide responsive support across a wide range of

executive and operational responsibilities. This role requires strong attention to detail,

excellent communication skills, discretion in handling confidential information, and the

ability to effectively coordinate across multiple departments.

What You'll Do as an Executive Operations Assistant

• Keep the COO and his operation moving.

• Prepare agendas, reports, presentations, correspondence, and meeting

materials.

• Take meeting notes, document key decisions, and monitor action items

for timely follow-up.

• Coordinate meetings and communications among Production, Safety, Training,

Retail, Security, Store Operations, Regional Leadership, and corporate

departments.

• Gather, organize, and follow up on operational updates, action items, and information needed for executive reporting and decision-making.

• Maintain project trackers, departmental calendars, and reporting tools to support

visibility and organization.

• Help facilitate communication and follow-up between the COO and other company

and departmental leaders.

• Support the development and maintenance of administrative systems, processes,

and organizational tools.

• Take ownership of assigned special projects, operational tasks, event planning, and leadership meeting coordination from start through completion.

• Handle sensitive and confidential information with professionalism and discretion.

• Provide general executive and administrative support to ensure the COO can

operate effectively and efficiently.

• Proactively follow up with department and regional leaders on commitments, deadlines, and outstanding action items to help ensure priorities continue moving forward.

• Step in and complete hands-on operational and administrative tasks as needed rather than simply coordinating work through others.

What You Bring as an Executive Operations Assistant

• Bachelor's degree preferred.

• 5+ years of experience supporting senior leadership, executive administration,

operations support, or project coordination.

• Outstanding organizational and time management skills.

• Exceptional attention to detail and follow-through.

• Strong written and verbal communication skills.

• Ability to manage multiple priorities in a fast-paced environment.

• Self-motivated with strong problem-solving abilities.

• Professional presence and ability to work effectively with leaders across the

organization.

• Advanced proficiency with Microsoft Outlook, Excel, PowerPoint, Word, and Teams.

The Ideal Candidate

• Creates organization and structure in a fast-moving environment.

• Anticipates needs and takes initiative.

• Demonstrates exceptional reliability and follow-through.

• Enjoys coordinating projects and supporting business operations.

• Builds positive working relationships across all levels of the organization.

• Maintains professionalism and discretion in sensitive situations.

• Stay calm, adaptable, and organized under pressure.

• Is willing to assist wherever needed to support the COO and the business.

What Success Looks Like as an Executive Operations Assistant

• The COO is highly organized and supported in managing priorities, meetings, and

communications.

• Information flows efficiently between the COO and key stakeholders.

• Meetings, projects, and follow-up items are coordinated effectively and completed

on time.

• Executive reporting, presentations, and communications are prepared accurately

and professionally.

• Administrative processes run smoothly and efficiently.

• The Executive Operations Coordinator becomes a trusted and dependable support

partner to the COO.
