About the role
Reporting to the Training Stream Manager, you will provide strategic, operational, and administrative support to the Royal Australasian College of Surgeons Trainees' Association (RACSTA) Committee and Executive. You will help ensure the smooth running of committee activities while supporting advocacy, governance, communications, and engagement initiatives that represent the voice of Trainees across the College. The role works closely with the RACSTA Executive and key stakeholders across the organisation to support initiatives presented to the Committee of Surgical Education and Training (CSET) and Council.
Key responsibilities include:
• Providing executive and administrative support to the RACSTA Committee and Executive
• Preparing committee agendas, reports, presentations, and meeting papers
• Coordinating meetings, webinars, elections, and events including the annual RACSTA Induction Conference
• Drafting reports, correspondence, newsletters, website content, and social media communications
• Acting as a key contact point for Trainee queries and stakeholder communication
• Supporting governance activities, budgets, sponsorship coordination, and project work
• Assisting with the coordination of trainee engagement initiatives and events across the College
This is a varied role suited to someone who enjoys balancing administration, coordination, stakeholder engagement, and communications in a professional and collaborative environment.
The role is 0.8 FTE (30 hours per week), Melbourne or Adelaide location preferred.

About the team
You will be part of the Pathways to Fellowship portfolio, working closely with teams across surgical education and training. RACSTA plays an important role in representing Trainees’ interests and contributing to policy, advocacy, and initiatives that support the surgical training experience and Trainee wellbeing. The team works collaboratively across the College, specialty training boards, committees, and external stakeholders to support Trainees throughout their training journey.
About you
You will be an organised and proactive administrator with experience supporting committees, senior stakeholders, or governance groups. You will be comfortable managing competing priorities, preparing high-quality documentation, and building positive working relationships across a wide range of stakeholders.
You will also bring:
• Experience providing executive support to boards, committees, or senior management
• Strong organisational and time management skills with the ability to manage multiple tasks and deadlines
• Excellent written communication skills, including preparing reports, correspondence, presentations, and communications content
• Experience coordinating meetings, webinars, conferences, or events
• Strong attention to detail and the ability to handle confidential information with discretion
• Strong working knowledge of Microsoft Teams, Word, Excel, PowerPoint, and Microsoft D365
Experience using Canva, coordinating sponsorship activities, or creating social media content would be well regarded but is not essential.
This role would suit someone who enjoys working collaboratively, communicating with a broad range of stakeholders, and contributing to initiatives that support surgical Trainees across Australia and New Zealand.
