Job Description

Job Purpose

To support the planning, coordination, and execution of performance management processes and initiatives across Malaysia and, where applicable, at the Group level, under guidance from the Team Lead.

Key Responsibilities 1. Performance Management Cycle Support

  • Support coordination of annual performance cycles (goal setting, mid-year, year-end review)
  • Track timelines, deliverables, and submissions
  • Liaise with HRBPs and business units to ensure timely completion
  • Lead and deliver assigned projects
  • Perform other tasks as assigned by Team Lead

2. Goal Setting (KPIs) & Scorecard Support

  • Assist in collation and consolidation of HR inputs for division scorecards
  • Maintain and update KPI scorecards/templates
  • Perform validation checks to ensure data accuracy and consistency

3. Process & Policy Support

  • Maintain guidelines, FAQs, and communication materials
  • Update process documentation for clarity and consistency
  • Provide basic clarification to stakeholders on processes and timelines

4. Data & Reporting

  • Support preparation of reports and dashboards
  • Consolidate data for analysis (e.g. ratings distribution, cycle completion)
  • Ensure data accuracy, completeness, and proper documentation

5. System & Operational Support

  • Support system activities (testing, data uploads, issue tracking)
  • Log and follow up on system queries
  • Support continuous improvement of tools

6. Stakeholder Coordination

  • Coordinate with HRBPs, divisions, and COEs
  • Support communication of key updates and timelines

7. Project & Administrative Support

  • Support performance management projects/initiatives
  • Prepare meeting logistics and track action items

8. Governance & Compliance

  • Ensure adherence to policies, guidelines, and audit requirements
  • Maintain proper documentation for audit and tracking

Job Specification Qualifications

  • Bachelor’s Degree or Professional Qualification (HR or related is an advantage)

Professional / Regulatory Requirements

  • Nil

Relevant Work Experience

  • 0–2 years of experience
  • Internship or exposure to HR / data / administration is an advantage

Required Competencies & Skills Technical / Functional

  • Basic proficiency in MS Office (Word, Excel, PowerPoint)
  • Ability to handle data consolidation and tracking
  • Strong attention to detail in reviewing data and documents
