DEPARTMENT OF ACCOUNTANCY, ECONOMICS AND FINANCE

Executive Officer (26270143)

The appointee is expected to provide comprehensive administrative, secretarial, and operational support to the Department, with a strong focus on academic matters and effective liaison with internal stakeholders to achieve smooth coordination of departmental and School activities.

Responsibilities:

  • Academic and office administration: Provide full-range secretarial and administrative assistance, including office management, office operations, document preparation, record maintenance, class scheduling, examination arrangements, and teaching assignment coordination.
  • Enquiry handling Manage departmental enquiries, correspondence, and requests from faculty members, students, and administrative offices, to maintain timely and professional responses.
  • Stakeholder liaison Liaise with internal stakeholders, including faculty members, master programme officers, central offices (RO, FO, HRO, GE Office, Student Affairs Office), and other administrative units to facilitate departmental operations and academic coordination.
  • Student and teaching support Coordinate student-related activities and promotional events; support teaching and learning initiatives; and provide facilitation of academic matters to assist faculty members.
  • Event management Coordinate and execute departmental events, seminars, workshops, and meetings, including logistics, publicity, and post-event reporting.
  • Project and compliance support Assist in departmental and school-level projects, including data collection, reporting, compliance monitoring, and quality assurance exercises.
  • Perform any other duties as assigned.

Requirements:

  • Academic qualification A recognised bachelor’s degree, preferably in business administration, management, or related disciplines.
  • Work experience: Preferably 3 years of relevant administrative experience; experience in tertiary institutions or academic programme administration is an advantage, and experience in sizable organisations with structured operations and multi-stakeholder coordination will also be considered.
  • Language proficiency Excellent command of written and spoken English and Chinese (Putonghua and/or Cantonese).
  • Technical skills Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook); familiarity with university systems and databases is an advantage.
  • Communication and liaison skills Strong interpersonal skills with the ability to liaise effectively across multiple offices and stakeholders. Able to work independently and collaborate effectively in a team.
  • Organisational skills Demonstrated ability to manage academic matters and support programme operations under tight timelines.
  • Professional attributes High sense of responsibility, attention to detail, adaptability, and commitment to service excellence.

Shortlisted candidates will be invited to attend a written test and an interview. The initial appointment will be offered on a fixed term contract of 2 years commencing as soon as possible. Re-appointment thereafter will be subject to mutual agreement.

Salary will be commensurate with qualifications and experience.
