About the Role:

Our client, a renowned international non-profit organization and foundation, is seeking a highly presentable and professional Office Manager cum Executive Assistant to support the CEO in Dubai. As the Dubai branch is expanding, this role combines high-level executive support to the CEO with responsibility for office administration and management. You will have the opportunity to operate at the highest level of a globally minded organisation, with frequent interaction at executive and government levels, while also ensuring the smooth operation of the Dubai office.

Key Responsibilities

• Provide comprehensive executive-level administrative support to the CEO, including calendar management, scheduling, and correspondence.
• Arrange international and domestic travel, ensuring seamless itineraries and visa arrangements, particularly for EU countries.
• Prepare meeting agendas, reports, and presentations; take accurate minutes during high-level meetings.
• Liaise professionally with senior executives, board members, government officials, and external stakeholders.
• Manage confidential documentation and information with absolute discretion.
• Coordinate logistics for events, conferences, and special projects as required by the CEO.
• Oversee all office administration functions, including facilities management, procurement, office supplies, and vendor management.
• Implement and improve office policies and procedures to ensure an efficient and organised work environment.
• Support HR-related activities such as onboarding new staff, maintaining records, and ensuring compliance with local regulations.
• Handle expense reporting, procurement, and day-to-day office operations for the executive office.
• Anticipate the needs of the CEO, providing proactive and efficient support at all times.

Candidate Requirements

• Proven experience as an Executive Assistant or Office Manager, ideally supporting C-level executives.
• Highly presentable, with strong organisational and interpersonal skills.
• Professional and polished communication at all times, with excellent written and verbal English.
• Eligible and available to travel to EU countries as required.
• Demonstrated discretion and the ability to handle confidential and sensitive information.
• Experience managing office administration, facilities, and vendor relationships.
• UAE-based or willing to relocate to Dubai.
• Strong IT skills, including proficiency in MS Office Suite and virtual meeting platforms.
