Job Description

Role: Executive Office Assistant

Location: Zetland, NSW

About your new Role

In this role you will support two Senior Executives, both our Group Managing Director and Director of Finance and IT. This position is based in our head office in Zetland.

Your main responsibilities will include:

  • High level administration support to the Group Managing Director and Director of Finance and IT in operations and processes
  • Ensure the invoicing, payments, reconciliations, reimbursements and Purchase Orders for the Group Managing Director are correct, and processed in line with VGA requirements
  • Act as a point of contact for all VGA Leadership team and their assistants with business requirements and updates
  • Calendar, diary, travel and appointments for both the Group Managing Director and Director of Finance and IT
  • Office management for Zetland office
  • Support ad-hoc administrative duties as required
  • Support meeting organisation for the Senior Leadership Team events
  • Supporting the Executive Specialist in adhoc activities & special projects
  • Drive continuous improvement and deliver small and discrete projects
  • Provide administrative support for monthly board meetings, including preparation and minute taking

About you
To succeed in this role, you will need to possess the following:

  • Extensive experience within administration and senior leadership support roles
  • Coordination of senior leadership team meetings and minute taking
  • Strong verbal and written communication skills
  • Strong stakeholder engagement, negotiation and buy in
  • Ability to liaise with senior audiences clearly and concisely
  • Great attention to detail
  • Advanced proficiency in MS Office Suite, particularly Outlook, PowerPoint, Excel and Word
