Administration Officer – Office of the Chief Executive Officer (CEO)
Full-time Permanent Role | Sydney CBD | 4 days office / 1-day WFH

At Uniting NSW.ACT, we’re looking for an experienced and highly capable Administration Officer to join the Office of the Chief Executive Officer. Working within a small, high-performing team, you’ll support the rhythm and operations of the CEO Office while helping ensure everything runs smoothly, professionally and with absolute discretion.
You’ll report directly to the Company Secretary / Executive Officer and work closely with the CEO, General Counsel and broader Executive Assistant network. This is a role for someone with exceptional judgement, polish, initiative and energy — someone who thrives in a fast-paced environment and genuinely enjoys being the person others rely on.
This is also a rare opportunity to gain exposure to the inner workings of Executive leadership, Board and its Committees, and legal operations within one of Australia’s largest and most purpose-led organisations.
What you’ll be doing
You’ll play a key role in supporting the Office of the CEO by:
• Managing complex calendars for the CEO Office with care, diplomacy and confidentiality
• Coordinating travel, itineraries and expense management for Executive and Board-related activities
• Supporting Board, Committee and Executive meeting cadence, follow-ups and communications
• Drafting and reviewing professional correspondence and documentation
• Preparing meeting rooms, arranging catering and providing real-time technology support during meetings
• Assisting with Board, Committee and Executive onboarding, induction activities and site visits
• Assisting with Diligent administration for Board and Executive papers
• Providing administrative support to the Legal Team, including maintaining legal matter management systems
• Managing invoice processing and expense reconciliation in line with internal procedures
• Supporting event coordination and occasional reception relief during planned leave periods
• Working collaboratively within the Executive Assistant network to ensure seamless support coverage across the business
• Maintaining strict confidentiality across Executive, Board and legal matters at all times
What we’re looking for
You’re someone who brings maturity, professionalism and a proactive mindset to everything you do. You’re naturally organised, highly responsive and comfortable operating around senior leaders and governance environments.
You’ll also bring:
• At least 4 years’ experience in a similar administration or executive support role within a complex organisation
• Proven experience supporting senior executives and managing competing priorities
• Strong diary management capability and exceptional organisational skills
• Advanced Microsoft Office and Outlook skills, with confidence using modern technologies and AI-enabled tools such as Copilot and Teams integrations
• Excellent written and verbal communication skills
• High attention to detail and strong problem-solving capability
• Confidence liaising with Board members, Committees and Executive stakeholders
• A calm, resourceful and collaborative approach
• Strong judgement and the ability to handle confidential and sensitive information appropriately
• A professional presentation and attire suitable for an Executive Office environment
