JOB PURPOSE

To execute tasks and assist in ensuring smooth operations for issuance of Business Financing Letters of Offer, covering both Islamic and Conventional financing, which consist of the issuance of the Letter of Offer (LO), Letter of Notification/Letter of Variation (LON/LOV) and Letter of Renewal of pre-disbursement/post disbursement, while ensuring all tasks are completed within the stipulated SLA and in full compliance with Bank policies, regulatory requirements, and statutory obligations.

JOB ACCOUNTABILITIES

  1. To execute tasks and assist in ensuring smooth operations of daily BAU activities for the issuance of Business Financing Letters of Offer, covering both Islamic and Conventional financing, which include the following:
  • Reviewing and understanding the Bank’s approval upon receipt of the Credit Application Memorandum (CAM – Part 4) from Relationship Managers (RMs).
  • Ensuring all Terms and Conditions in the approved CAM are accurately and completely transposed into the relevant Letter of Offer, Letter of Renewal, Letter of Variation, or Letter of Notification, using approved standard templates.
  • Issuing Letters of Offer, Variations, Notifications, and Renewals for Business Financing pre‑disbursement activities within the agreed Service Level Agreement (SLA), while safeguarding the Bank’s interests at all times.
  • Ensuring accuracy, completeness, and timeliness of all portfolio‑related functions, and recording any defects or errors for learning and continuous improvement.
  • Ensuring all deviations are supported by valid approval from the relevant Approving Authority of the Bank.
  1. Perform maker self-checks to ensure accuracy and completeness before submitting for checker review.
  2. Maintain and update all master listings and system for monitoring and reporting purposes.
  3. Furnish BAU operational reports on an ad hoc, weekly, and monthly basis.
  4. Establish well-balanced/effective and good working relationship with internal teams and external stakeholders and provide value added support to ensure smooth daily operations.
  5. Monitor individual task queues to prevent backlogs and ensure timely completion of assigned work.
  6. Ensure all tasks are performed within the agreed SLA and in compliance with Bank policies, regulatory requirements, and statutory guidelines.
  7. Assist Unit Head / Section Head / Head FCAD in ensuring overall compliance with regulatory, statutory and Bank’s guidelines & policies.
  8. Assist Unit Head, Section Head and Head of FCAD in managing costs prudently to ensure expenses remain within the approved budget.
  9. Prepare and submit operational reports on a daily, weekly, monthly, or ad hoc basis.
  10. Participate actively in various processes re-engineering initiatives within FCAD & Bank’s initiated projects.
  11. Support operational readiness, including UAT participation for system enhancements or change requests.
  12. Proactively guide team members through internal training and sharing sessions to enhance operational knowledge.
  13. Assist or relieve other team members within the Section or across other Sections whenever required to support BAU continuity.
  14. Attend to any other tasks or ad hoc matters as instructed by the Unit Head, Section Head, and/or Head of FCAD.

JOB REQUIREMENTS

  • Degree/Diploma in Business, Finance, or a related discipline.
  • Professional certifications from bodies such as IBBM/AICB (if any) are an added advantage.
  • At least 3–5 years of relevant working experience in related functions.
  • Effective written and spoken communication skills in both English and Bahasa Malaysia.
  • Good working knowledge of the Bank’s policies, procedures, and relevant risk and regulatory guidelines.
  • Strong interpersonal skills, a good team player, and able to communicate effectively with personnel at all levels. Highly analytical with strong attention to detail.
  • Strong time management and organisational skills, with the ability to meet deadlines and manage workload efficiently.
