Job Summary

The Executive Director is responsible for the day-to-day operations and supervision of the community including the profit and loss. S/he coordinates, plans, implements, monitors, directs, and evaluates all aspects of operations including recruitment, supervision, support, and coaching of employees and volunteers. The Executive Director also meets financial expectations, maintains high resident and family satisfaction, and ensures a quality, service/customer orientated staff. In addition, s/he manages the community based on Benchmark policies, procedures, and guidelines. The Executive Director is fully knowledgeable and complies with all state and federal regulations, guidelines, and reporting pertinent to the day-to-day operation of the community.

Principal Duties/Responsibilities:

Advocacy

  • Ensures residents’ rights are protected and develops appropriate mechanisms for their protection
  • Adheres to resident rights’ notification requirements

Communication

  • Ensures residents and families are educated about residents’ rights, Personal Service Plans, and BSL tiers
  • Consults Area/Senior ED, RDO or VP and Human Resources prior to terminating an associate
  • Assures that all staff is fully informed on the answers to the most frequently asked questions by residents, families, and prospective residents
  • Facilitates regularly scheduled meetings with department heads and associates
  • Contributes to the industry by participating in state and national associations
  • Acts as liaison between residents, management, and families
  • Facilitates a daily Standup Meeting, regularly scheduled Manager’s Meeting and monthly All Associates Meeting
  • Develops a formal, written system of communication to ensure routine and emergency information be distributed to staff and residents in a timely fashion
  • Maintains a system to enable residents and families to present grievances or recommendations regarding facility operations and programs
  • Possesses excellent communication skills, both verbal and written, and the ability to relate in a positive and professional way to a diverse resident and associate population
  • Ensures responsiveness to family, resident, and associate requests

Compliance/Safety

  • Adheres to and enforces OSHA regulations and safety procedures
  • Maintains full compliance with all laws and regulations regarding the operation of an assisted living facility
  • Secures the community’s license and posts it in accordance with regulations
  • Maintains compliance with fire drills and disaster plans
  • Investigates, monitors, and reviews work-related injuries

Financial Management

  • Reviews and interprets monthly financial reports and provides explanation of budget variances to management
  • Shares results of monthly financial reports with department heads. Counsels individual managers on department budget variances as needed
  • Educates department heads to consistently meet budgetary guidelines
  • Assures that all department heads consistently meet budget guidelines
  • Assures that opportunities to generate revenue are maximized
  • Assures that all opportunities to generate ancillary revenue are fully maximized
  • Oversees the administration of payroll and processing accounts payable
  • Consistently looks for and research opportunities to maximize revenue
  • Ensures accounts receivable are collected on a timely basis
  • Initiates actions that will maintain operations within established budget

Problem Solving / Decision Making

  • Takes corrective action and disciplines employees in writing when appropriate
  • Reassigns or terminates unsatisfactory employees in coordination with Human Resources and the Area/Senior ED, RDO or VP

Public Relations / Marketing

  • Demonstrates the ability to represent the community in a wide variety of public settings including, but not limited to, making presentations to large groups and meeting community professional and government leaders
  • Works to position the community as a “good neighbor” by opening the community for use by outside groups and organizations

Resident Care

  • Oversees and supervises all resident care services
  • Monitors system of service delivery to the residents including mix and design to ensure resident and family satisfaction and optimal efficiency
  • Approves and signs all contracts and assures contract meets Benchmark Senior Living guidelines
  • Coordinates move-in process including signing leases and works with the community leadership team to develop resident service plans
  • Maintains a system to enable residents and families to present grievances or recommendations regarding community operations and programs
  • Ensures responsiveness to family, resident, and associate requests where possible
  • Assists in the coordination and development of community activities and services for residents

Sales/Marketing

  • Oversees and approves all admissions, transfers and discharges of all potential and existing residents
  • Demonstrates proficiency in generating leads and closing sales
  • Participates in the interviewing and selection of GAFC participants (where applicable)
  • Plans, implements, and evaluates a rent-up and occupancy strategy
  • Demonstrates ability to represent the community in a wide variety of public settings, including but not limited to making presentations to large groups and meeting community professional and government leaders
  • Works to position the community as a “good neighbor” by opening the community for use by outside groups and organizations
  • Provides assistance to the Marketing Director with particular attention to the medical, legal, financial, and business communities who may influence the senior market

Talent Development

  • Plans for succession
  • Assists in the recruitment and selection of staff
  • Manages a program and process for talent development
  • Assures that all employee files are up-to-date and complete
  • Communicates a specific plan for management of the community in the absence of the Executive Director
  • Works closely with department heads to develop and coordinate the community educational programs
  • Completes performance review for all department heads annually

  • Plans, implements, and evaluates a rent-up and occupancy strategy
  • Demonstrates the ability to be innovative and creative and have patience, high energy, and resourcefulness in problem solving
  • Explores ways to develop a strategic direction for the community and to maximize the value of primary and ancillary community assets

  • Assists in the coordination and development of community activities and services for residents
  • Demonstrates responsibility for the supervision of the facility

Education/Experience/Licensure/Certification:

EDUCATION

Bachelor’s degree in business administration, Healthcare, Hospitality, Gerontology or other course of study that relates to service to the elderly, preferred

PREVIOUS EXPERIENCE

Demonstrated, successful operations experience specific to independent, assisted, Alzheimer’s, CCRC communities or related fields

LICENSE

  • Valid driver’s license
  • Valid license to operate an assisted living facility, if mandated by the State in which the community is located
  • CPR certification required or ability to obtain within short timeframe of hire date

Required Skills/Abilities:

  • Demonstrates computer literacy and familiarity with a variety of office software, including but not limited to word processing, spreadsheets, databases and presentation software
  • Demonstrates ability to maintain a high level of confidentiality regarding residents, employees, staff and the community
