POSITION OVERVIEW
The Executive and Development Assistant is a member of the Club’s leadership team and supports key development and fundraising priorities for the Blue Hill Club. The position also provides high-level administrative and operational support to the Executive Director and Director of Operations and provides direct supervision and support to assigned program and operational areas.
The Executive and Development Assistant works collaboratively with Club leadership, the Advisory Board, and Main Office departments to support effective Club operations, communication, fundraising, donor engagement, and administrative processes.
ESSENTIAL DUTIES and RESPONSIBILITIES
Development, Donor Relations, and Fundraising Support
- Coordinate Advisory Board meeting logistics, materials, communications, and meeting minutes.
- Support the development of Club communications related to fundraising, donor engagement, special events, and other Club activities.
- Coordinate logistics for Blue Hill Club fundraising and donor-engagement events.
- Coordinate Club-based grant administration and work with program leaders to support grant requirements, documentation, and reporting for program-specific funding.
- Support the development and implementation of annual appeals and donor follow-up activities.
- Support the identification, cultivation, and stewardship of new and existing donors.
- Maintain accurate records of cash and in-kind contributions, track gifts, and coordinate timely donor acknowledgments.
- Serve as the Club liaison to the Main Office Development team and coordinate development-related information and requests.
- Maintain Club-based donor, Advisory Board, and community contact information in Raiser’s Edge in accordance with Main Office Development guidelines, including donor records and relationship-management activity.
Executive Support, Board Relations, and Administration
- Coordinate communication, correspondence, and reporting between the Club and Main Office departments, including People & Culture, Operations, Finance, IT, and Development.
- Manage administrative correspondence, mail, records, and other office communications as needed.
- Maintain Club licenses, permits, and other required administrative documentation.
- Support a welcoming and professional Club environment by assisting visitors, managing inquiries, and providing accurate information regarding the Club and its programs.
- Coordinate office supplies, equipment, and other administrative resources.
- Maintain appropriate inventory records for Club equipment and administrative resources.
Financial and Administrative Operations
- Maintain Club financial records and administrative processes, including accounts payable and receivable documentation, check requests, and budget-related orders, in coordination with Finance and Club leadership.
- Maintain and reconcile petty cash in accordance with established procedures, if applicable.
- Collect, record, and process deposits related to Club fundraising activities in accordance with established financial procedures.
Staff Supervision and Program/Operational Support
- Provide direct supervision, coaching, and support to assigned staff and operational areas, including Membership and designated culinary or meal-service operations.
- Orient, train, supervise, and evaluate assigned staff in accordance with BGCB practices and timelines.
- Assist the Executive Director with recruitment and selection for assigned positions and encourage staff participation in professional development opportunities.
- Support the Director of Operations in coordinating and communicating Club program schedules and calendars across departments.
- Serve as the lead administrative coordinator for Club-wide field trips, including registration, permission forms, transportation, scheduling, and related budget or logistical requirements as directed.
Communication, Collaboration, Evaluation, and Professional Development
- Participate in individual and group supervision sessions and professional development opportunities as approved, provided, or directed.
- Participate in various evaluation and continuous-improvement efforts throughout each program year, including the annual member survey.
- Perform other related duties as specified by the Executive Director or designee.

QUALIFICATIONS
Required
- Bachelor’s degree in business administration, nonprofit management, communications, development, or a related field.
- Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and other web-based administrative systems.
- Prior experience in executive support, administration, development, nonprofit operations, or a similar role.
- Strong interpersonal, verbal, and written communication skills.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Ability to work independently and collaboratively as part of a leadership team.
- Ability to exercise sound judgment and maintain discretion and confidentiality when handling sensitive information.
- Flexibility to work Club hours, including occasional evenings and weekends, as organizational needs change.
- Valid driver’s license and reliable transportation.
Preferred or Ideal
- Experience in customer service, reception, donor relations, or other external-facing work.
- Experience with Raiser’s Edge or another donor/customer relationship management system.
- Previous supervisory or team leadership experience.
- Experience supporting fundraising, donor stewardship, grants administration, or nonprofit development activities.
- Experience working in a youth-serving, community-based, or nonprofit organization.
TRAVEL
Travel between BGCB sites and to activities, meetings, trainings, and events as needed.

SALARY & BENEFITS
Salary - $71,000 - $73,130 - commensurate with experience; along with competitive benefits and a great work environment
