We are looking for an experienced and proactive Executive Coordinator to provide trusted support to our General Managers of Commercial and Operations.

This is a varied role for someone who enjoys being one step ahead, creating order in a busy environment and ensuring key business activities are thoughtfully and professionally coordinated.

The opportunity

Reporting to the Executive Assistant, you will be a trusted coordination partner to the General Managers of Commercial and Operations. Your support will help keep leadership priorities moving, meetings focused and key activities well organised.

You will manage busy diaries and calendars, coordinate meetings from beginning to end, arrange travel and accommodation, and ensure agendas, minutes, action lists and follow-up activities are completed to a high standard.

You will prepare clear, concise and visually polished presentations and business material, using Microsoft 365 and approved artificial intelligence tools, including Microsoft Copilot, to improve quality, consistency and efficiency.

You will also coordinate Executive Tender Review and Approval to Submit meetings, workshops and functions, maintain accurate records and information, assist with customer relationship management administration, reconcile expense transactions, and provide backup coordination for the wider executive and national leadership teams travel when required.

About you

You are an experienced personal assistant, executive assistant or senior coordinator who uses sound judgement, communicates confidently and takes pride in delivering accurate, high-quality work.

You are comfortable working at pace and managing competing demands with discretion and minimal supervision. You follow through on commitments, notice the details and build positive working relationships with people across the business.

You will bring:

  • At least four years' experience in a personal assistant, executive assistant or senior coordination role supporting senior leaders
  • Strong diary, calendar, meeting and travel management experience, with the ability to prioritise competing demands
  • Advanced Microsoft Office skills, particularly Outlook, PowerPoint, Word, Teams and Excel
  • Confidence preparing clear, accurate and visually polished presentations, meeting papers and business material
  • Experience using Microsoft Copilot or other approved artificial intelligence tools for drafting, summarising, meeting preparation and presentation development
  • Strong editing, proofreading, minute-taking and action-tracking skills
  • Sound judgement and the ability to manage sensitive and confidential information appropriately
  • A responsive, customer-focused approach and the interpersonal skills to build trusted relationships across the organisation
