Your new role

As Executive Coordinator for the Senior Director of Medical & Regulatory (M&R) in International Operations, you'll be the central force behind effective planning, organization, and execution across the department. This is more than traditional coordination – you'll be a strategic partner, project manager, and process expert who enables our M&R teams to focus on bringing life-changing medicines to patients across 194 countries.

Your responsibilities will include:

  • Managing comprehensive diary planning, travel coordination, and prioritization of focus areas for the Senior Director of M&R, ensuring optimal use of time and resources
  • Orchestrating all departmental meetings, conferences, team builds, and training events from start to finish, including agenda creation, venue negotiation, travel arrangements, and content coordination
  • Leading project management for ad-hoc initiatives in collaboration with the Projects & Education Team, from planning through execution
  • Serving as the department's contracting and procurement expert, managing the full Coupa contract process and guiding team members through complex procurement procedures
  • Overseeing functional budgets including PO management, invoice reconciliation, monthly goods receipting, and proactive collaboration with Finance Business Partners
  • Managing the VEEVA Promomats process for grant and patient organization agreements, including uploads and system documentation
  • Driving continuous process improvements and ensuring audit readiness, compliance adherence, and seamless onboarding experiences for new team members

Your new department

The UK M&R (Clinical, Medical & Regulatory) department comprises approximately 70 employees across diverse teams, including Medical Affairs & Education, Regulatory, and Safety.
Within International Operations, the Medical & Regulatory function plays a critical role in ensuring our medicines reach patients safely and effectively. You'll support a dynamic leadership team dedicated to medical excellence and regulatory compliance across diverse markets. Your contribution will enable seamless collaboration, operational efficiency, and a healthy, engaged working environment where everyone can focus on delivering impact for patients.

Your skills & qualifications

We're looking for an experienced Executive Coordinator who thrives in fast-paced, complex environments and brings a solutions-focused mindset to everything they do. You'll have:

  • Proven success as a senior-level coordinator in busy working environments with extensive project, budget, and procedure management experience
  • Advanced planning and organizational skills with exceptional ability to multi-task, prioritize, and deliver against tight deadlines
  • Extensive experience in event and course organization, including proven negotiation skills for securing venues, rates, and vendor agreements
  • Strong financial management capabilities including budget monitoring, PO processing, invoice reconciliation, and tracking committed spend
  • Advanced IT and Microsoft Office skills (Excel, PowerPoint, Word) with ability to quickly master new systems and maximize functionality
  • Excellent stakeholder management, communication, and interpersonal skills with the ability to converse confidently at all organizational levels
  • High attention to detail, exceptional discretion and confidentiality, and a keen eye for proof-reading and quality assurance
  • A formal administrative qualification (A level or equivalent) would be advantageous; pharmaceutical/healthcare industry experience and ABPI knowledge are desirable
