About Organization

The Rakuten Symphony Sales team delivers cutting-edge services that are revolutionizing the global mobile telecommunications industry. We aim to maximize the efficiency and effectiveness of our sales activities to expand our business in a rapidly changing market and build strong customer relationships. We are currently seeking an Executive / Business Assistant to play a crucial role in supporting the Executive Officer of the Sales Department and ensuring the smooth operation of overall sales activities.

Job Duties

As an Executive / Business Assistant supporting the Executive Officer of the Sales Department, you will be responsible for a wide range of support tasks that go beyond traditional secretarial duties, encompassing a broad overview of the business to facilitate smooth sales operations. Your mission will be to provide accurate and prompt support, enabling the sales team to focus on delivering value to customers and expanding the business.

Specifically, your responsibilities will include:

  • Comprehensive Secretarial Duties: Managing the Executive Officer's schedule, arranging meetings (domestic and international), coordinating business travel (flights, accommodation, visas, etc.).

  • Document Creation & Data Management: Assisting with the creation of meeting materials, preparing presentation documents, organizing and managing sales data and related information.

  • Communication & Coordination: Facilitating smooth coordination, negotiation, and communication with internal and external stakeholders (customers, partners, other departments, etc.).

  • Project Support: Assisting with the progress management of sales strategy-related projects and providing associated support tasks.

  • Other Duties: Providing all necessary support to ensure the Executive Officer's operations run smoothly.

Minimum Qualification

  • 3+ years of administrative or secretarial experience.

  • Business-level PC skills (Microsoft Office Suite: Excel, Word, PowerPoint).

  • Excellent communication and coordination skills.

  • Proactive attitude: ability to identify issues independently and propose improvements, rather than waiting for instructions.

  • Flexibility: adaptability to a fast-paced environment and ability to efficiently multitask.

  • Business-level English proficiency (TOEIC 600+ or equivalent).

  • Native-level Japanese proficiency

  • Fully on-site work required.

Preferred Qualification

  • Experience supporting Executive Officers or senior management.

  • Work experience in the IT or telecommunications industry.

  • Basic knowledge of project management or project support experience.

  • Experience using data analysis tools (CRM, BI tools, etc.).
