Executive Board Liaison
Preferred Special Skills, Knowledge or Qualifications:
1) Coordinates and manages the end-to-end preparation of Board and committee meetings, including scheduling, venue selection and setup, technology for hybrid/virtual meetings, and ordering catering. Interfaces directly and independently with both inside and outside organizations on meeting facilitation and coordination. Provides on-site and virtual support during meetings to ensure seamless execution.
2) Assists with development, formatting, and publication of board books and agendas. Administers the Board portal (e.g., Diligent), including uploading materials, managing permissions, and publishing board books. Tracks deliverables from presenters and ensure timely submission of materials aligned with timelines.
3) Serves as the central point of contact between board members, the CEO, and executive leadership, maintaining a high standard of professionalism.
4) Manages Board members’ calendars with regards to company Board meetings, arranges domestic travel, and process expense reports. Prepares and distributes meeting calendars and maintain Board schedules.
5) Receives and screens incoming calls and email communications, determines priority matters, and follow-ups accordingly. Refers issues to appropriate personnel or provides requested information.
6) Reads and screens incoming correspondence and reports. Makes preliminary assessment of the importance of materials and organizes documents, handles certain matters and forwards appropriate materials to the team and personnel as appropriate.
7) Responds to routine or special inquiries and requests; facilitates the information flow between Board of directors, CEO, executive leadership team and other organizations both inside and outside the company.
8) Independently and accurately prepares correspondence, special reports, expense reports, schedules, presentations, spreadsheets, graphs, mailings and check requests ensuring completion in a timely manner.
9) Produces a variety of letter, memos, charts, graphs, and documents in final form.
10) Acts as liaison between the Board, CEO, executive leadership and others by communicating directives, instructions, and assignments. Follows-up on the status of outstanding assignments and projects.
11) Develops and maintains an organization system for files and/or tracking system(s) of tasks and projects.
