The Nevada Agency for Nuclear Projects is seeking a highly skilled and organized Executive Assistant/Office Manager to provide high-level administrative, operational, fiscal, and strategic support to the Executive Director, the Agency, and the Commission on Nuclear Projects. This position serves as the Agency's primary administrative coordinator and formal Secretary to the Commission on Nuclear Projects, ensuring efficient office operations, effective financial administration, and successful coordination of Agency programs, meetings, and communications.

The Executive Assistant/Office Manager works independently with minimal supervision and serves as a key liaison among Agency staff, Commissioners, state agencies, contractors, elected officials, and the public. The position requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a dynamic environment.

Qualifications

Executive and Administrative Support

  • Provide comprehensive administrative support to the Executive Director and Agency staff.
  • Manage executive calendars, coordinate meetings, and schedule appointments and events.
  • Coordinate travel authorizations, reservations, reimbursements, and related documentation.
  • Manage daily office operations and ensure efficient administrative workflows.
  • Serve as the Agency's primary point of contact for visitors, callers, and external stakeholders.
  • Maintain Agency records, files, correspondence, and administrative documentation.
  • Coordinate annual inventory activities and maintain agency administrative records.
  • Perform personnel-related administrative functions as assigned.

Commission Support and Meeting Management

  • Serve as the formal Secretary to the Commission on Nuclear Projects.
  • Coordinate all logistics for Commission meetings including meeting notices, agendas, materials, and public meeting requirements.
  • Record, prepare, and maintain official meeting minutes and records.
  • Track action items and follow-up assignments resulting from Commission and Agency meetings.

Financial and Fiscal Administration

  • Process purchasing requests, requisitions, invoices, and payments in accordance with State policies and procedures.
  • Reconcile purchasing card (P-Card) and travel card transactions.
  • Maintain fiscal records and monitor expenditures to ensure compliance with approved budgets.
  • Track Agency budgets, grants, contracts, and financial obligations.
  • Assist with development, monitoring, and reporting for the Agency's biennial budget.
  • Coordinate billing activities and ensure financial records remain current and accurate.
  • Support contract administration and monitor contract deliverables and expenditures.

Strategic Communications and Research Support

  • Edit and coordinate executive correspondence, reports, presentations, legislative materials, briefing papers, and other Agency documents.
  • Conduct research and analysis related to administrative, operational, fiscal, legislative, and management issues.
  • Assist in preparing materials for legislative sessions, Commission meetings, and public presentations.

Program Coordination and Compliance

  • Maintain internal controls and administrative compliance processes, including documentation, reporting, and transaction reviews.
  • Coordinate Agency administrative policies and procedures to ensure compliance with State requirements.
  • Serve in designated administrative coordination roles as assigned, including contract management, records management, safety coordination, language access planning, and other operational compliance functions.
  • Monitor and coordinate required reports, deadlines, and administrative deliverables.

Other Duties

  • Perform related duties and special projects assigned in support of Agency operations and strategic objectives.

KNOWLEDGE, SKILLS, ABILITIES:

  • Knowledge of administrative management, budgeting, accounting principles, and office operations.
  • Knowledge of public meeting requirements, records management, and governmental administrative practices.
  • Ability to organize and prioritize multiple projects while meeting deadlines.
  • Ability to prepare professional correspondence, reports, agendas, minutes, and presentations.
  • Ability to analyze information and maintain accurate fiscal and administrative records.
  • Ability to communicate effectively with elected officials, agency leadership, staff, contractors, and the public.
  • Proficiency with Microsoft Office Suite and other business software applications.
