The Executive Assistant to the President and CEO will be a high-trust partner and force multiplier at the center of our fast-moving, mission-driven organization. We seek an experienced professional who exercises exceptional judgment, moves with urgency, anticipates needs, and brings order to complexity. With strong executive presence and technology fluency, this person will strengthen preparation, coordination, and follow-through across the executive office, helping the executive team operate efficiently.

Essential Functions:

  • Manage and optimize daily and long-range calendars, meetings, appointments, and priorities; anticipate conflicts and coordinate timely resolution.
  • Prepare the executive for important meetings with clear objectives, agendas, participant context, background materials, logistics, sensitivities, expected decisions, and desired outcomes.
  • Prepare accurate and timely expense reports; track receipts, per diems, reimbursements, credits, and discrepancies in accordance with company policy.
  • Draft, proofread, format, and coordinate correspondence, presentations, briefings, agendas, and routine communications while preserving the executive's voice and confidentiality.
  • Serve as a professional liaison with employees, executives, customers, partners, board members, government officials, and other external stakeholders.
  • Handle sensitive personnel, business, customer, government, and export-controlled information with exceptional discretion and sound judgment.
  • Evaluate requests, gather missing context, and route or escalate matters appropriately while protecting executive focus and maintaining productive stakeholder relationships.
  • Coordinate domestic and international travel, including reservations, ground transportation, lodging, itineraries, contacts, materials, required documentation, contingencies, and changes in real time.
  • Plan and support leadership meetings, customer and partner visits, off-sites, advisory or board-related sessions, and company events, including schedules, invitations, materials, technology, catering, and run-of-show logistics.
  • Maintain reliable systems for decisions, action items, introductions, commitments, deadlines, contacts, records, and closed-loop follow-through.
  • Use Microsoft 365, travel and expense systems, secure information tools, AI, automation, and meeting-productivity tools responsibly to improve preparation, organization, and efficiency.
  • Demonstrate support for company culture, quality, safety, security, and compliance expectations in daily actions; perform comparable or related duties as needed.

General Role & Typical Assignment: Serves as a high-trust enterprise executive partner. Normally supports the CEO or President, or another assignment of comparable enterprise scope, sensitivity, visibility, and complexity.

Scope & Complexity: Orchestrates a highly complex executive operating rhythm spanning enterprise priorities, leadership forums, board or advisory activity, major customers and partners, government stakeholders, high-profile events, and domestic or international travel.

Judgment & Decision-Making: Exercises broad delegated judgment in ambiguous and sensitive situations. Anticipates downstream consequences, protects executive capacity, and advises on timing, access, information flow, stakeholder handling, and operating cadence.

Independence & Supervision: Works with minimal supervision and significant autonomy. Establishes and evolves executive-office systems and operating practices, while recognizing decisions that must remain with the executive.

Communication & Relationships: Represents the executive office with credibility and discretion at the highest levels. Navigates board, customer, partner, government, and leadership relationships; preserves trust when redirecting access or resolving competing demands.

Impact, Leadership & Improvement: Materially improves executive and leadership-team effectiveness. Leads cross-functional coordination for enterprise engagements and major events; sets a standard for executive support and may mentor or coordinate other administrative professionals.

Travel & Meeting Participation: Travels with the executive when business value warrants, particularly during onboarding and for complex customer, government, board, leadership, or major-event engagements. Regularly attends selected meetings to understand context and drive follow-through.

Qualifications:

Education: Bachelor's degree preferred; equivalent education and demonstrated executive-support capability considered.

Experience: Minimum of 8 - 10 years of progressively responsible executive-support experience, including substantial support to a CEO, President, C-suite, or comparable enterprise executive.

Demonstrated Capability: Exceptional judgment, discretion, anticipation, executive presence, enterprise stakeholder management, complex operating-rhythm leadership, and trusted independent action.

Equivalent Qualifications: Placement level requires demonstrated capability at the enterprise executive-support level; years of experience alone do not determine placement.

Knowledge, Skills & Abilities:

  • Exceptional organization, time management, accuracy, and closed-loop follow-through.
  • Clear, concise written and verbal communication; strong editing and presentation skills.
  • Professionalism, emotional intelligence, discretion, integrity, and composure under pressure.
  • Ability to learn the executive's style, preferences, priorities, decision patterns, and business context.
  • Ability to synthesize incomplete information into briefs, actions, owners, deadlines, and unresolved questions.
  • Advanced proficiency appropriate to level with Outlook, Teams, Word, PowerPoint, Excel, collaboration platforms, travel and expense systems, and secure information tools.
  • Relationship-focused approach that protects executive time without creating unnecessary barriers.

In compliance with state and local laws, the salary range for this role is $85,000 - $120,000. The range provided is a general guideline and good faith estimate representative of all experience levels but is not a guarantee of compensation or salary. TCOM considers several factors when extending an offer including, but not limited to, the scope and responsibilities of the position, a candidate’s experience, education/training, key skills, internal equity, and current market conditions. Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results.
