The Executive Assistant provides high-level, confidential administrative and operational support to the Executive Director, enhancing effectiveness through strategic coordination, communication management, and project support.
This role serves as an extension of the Executive Director, ensuring alignment across departments, building inter-departmental relationships, facilitating meetings and calendar management, providing budgetary support, ensuring the successful completion of self-led projects, and upholding organizational excellence with professionalism, discretion, and sound judgment.
Essential Duties:
- Provide professional executive administrative support to the Executive Director of Communications, Product Services, Facilities, Grounds, Transportation, and Custodial departments.
- Provide comprehensive calendar and email management, meeting coordination, and travel planning.
- Serve as a representative of the Executive Director in meetings and communications, exercising professional discretion, sound judgment, and follow-through.
- Act as gatekeeper and liaison, managing communication flow while fostering strong working relationships across departments.
- Prepare, edit, and manage professional correspondence, reports, presentations, and internal documents with a high standard of accuracy and clarity.
- Coordinate meetings end-to-end, including agenda development, room or virtual setup (Zoom/Teams), minute-taking, and tracking action items to completion.
- Support project coordination by tracking milestones, deliverables, and progress across multiple departments.
- Conduct research, compile data, and prepare reports to support strategic decision-making.
- Execute financial processes, including running departmental financial reports (Martus), processing invoices (Sage Intacct), submitting purchase requests, and coordinating vendor payments.
- Reconcile credit card transactions, receipts, and expense reports for the Executive Director and assigned departments, ensuring accuracy and compliance.
- Support hiring and organizational development efforts, including scheduling interviews, maintaining job descriptions, and updating organizational charts.
- Exercise resourcefulness and initiative, effectively navigating the organization to resolve issues, gather information, and advance priorities on behalf of the Executive Director.
- Help coordinate departmental events, meetings, and special initiatives, including hospitality for guests and executives as needed.
- Demonstrate emotional intelligence, professionalism, and discretion—operating with patience, wisdom, and self-control in all interactions.
- Uphold ethical standards and represent the organization with professionalism and integrity.

- Perform additional duties as assigned to support departmental and organizational objectives.

- Ability to lead and contribute within a complex, collaborative team environment.

- Proficiency in Microsoft Office Suite (especially Excel and PowerPoint), Outlook, Zoom, Teams, Monday.com, and similar platforms.
Requirements:
- Must have a personal relationship with Jesus Christ.
- Must sign the Statement of Faith.
- A high school diploma or equivalent education is required.
- A bachelor’s degree in the Administration/Business field is strongly preferred.
- A Charis Bible College graduate is preferred.
- Computer training and certifications are desirable.
- Must pass all required checks.
Experience:
- Proven experience as an executive assistant, business administrator, or similar role.
- 3-5 Years’ experience in an Administrative or Executive Assistant position is preferred.
- 2 Years of Customer Service and/or administrative experience is required.
- 1-3 Years’ experience with Budgets or Financial Statements is required.
- Experience working in Project Management, or a related field, is desirable.
- Compensation commensurate with experience.
