The Executive Assistant to the Chief Financial Officer provides critical administrative assistance and support to the Chief Financial Officer (CFO) by scheduling meetings, handling information requests, coordinating activities, preparing correspondence, receiving visitors, and arranging conference calls and other contacts. The position exercises independent judgment in reviewing and evaluating items requiring priority attention on a regular basis and maintains an extensive calendaring system. The role provides liaison support between the CFO’s and Provost’s offices, other Vice Chancellors, deans, faculty and staff and coordinates closely with the CFO’s direct reports and various units on campus in response to information requests, reporting requirements, budget analyses, contract preparation and other needs. The position maintains responsibility for policy reports, updates, and documentation as well as managing the document flow process for those items requiring the CFO’s signature.
Regular, reliable and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others
Minimum Qualifications:
Bachelor’s degree in general business administration, finance, or a related field
Applicable equivalencies may be considered on the above qualifications.
At least three years of experience in executive office management and support
At least three years of fiscal management experience
Experience and proficiency with Microsoft Office suite
Experience with software application programs, database management, and accounting principles
Preferred Qualifications:
Five+ years of experience in executive office management and support
Five+ years of fiscal management experience
Three+ years of contract lifecycle management experience
Experience using Workday finance and human capital management
Experience in web page administration
Experience with university department operations, policies and procedures, applicable laws and regulations
Knowledge, Skills, and Abilities:
Ability to be an effective advocate for the Chief Financial Officer: interacting and communicating with individuals at all levels of the institution and with alumni, friends and benefactors
Skilled and attentive to detail in composing and editing/proofing materials
Superior interpersonal skills and ability to handle sensitive and confidential information
Ability to work in a fast-paced environment, meet deadlines and appropriately manage multiple competing tasks and demand
Ability to conduct research and perform quantitative quality assurance reviews, resolve operational problems, and prepare required reports
Ability to plan, organize and coordinate activities, resources, and materials associated with the needs of the department or program
Ability to build and manage meeting agendas and relevant meeting notes
