Position Purpose:
The Executive Assistant to the Chief External Relations Officer exists to ensure the smooth, efficient running of the executive’s office by managing administrative, logistical, and communication tasks. They provide critical support through scheduling, coordinating meetings and travel, handling confidential information, and preparing high-quality documents and materials for external engagements. By organizing information and streamlining interactions with internal and external stakeholders, the role enables the executive to focus on strategic priorities. This contribution enhances productivity, maintains confidentiality, and ensures effective external representation of the organization.
This is a 6- month fixed-term, temporary contract position.
Key Accountabilities:
Manage front-office operations by handling inquiries, greeting visitors, processing correspondence, and maintaining organized electronic filing systems to ensure efficient communication flow.
Coordinate executive scheduling, including calendar management, meeting invitations, and travel arrangements, enabling the Chief External Relations Officer to prioritize strategic engagements.
Facilitate meeting and event logistics by organizing agendas, taking and distributing minutes, booking venues, and arranging catering, travel, and virtual platforms to support effective collaboration.
Maintain accurate records and systems, including distribution lists, board and committee files, Microsoft Teams sites, and documentation to ensure accessibility and compliance.
Prepare high-quality documents, presentations, and correspondence to support communication, reporting, and external relations activities.
Oversee office resources by ordering supplies, managing inventory, and supporting smooth day-to-day operations.
Support HR and organizational initiatives by assisting with recruitment, preparing job descriptions, and contributing to employee-related documentation and processes.
Administer financial and project activities by coding expenditures, reconciling expenses, supporting budget processes, reviewing variances, and executing special projects to ensure fiscal accuracy and operational effectiveness.
Education and Experience Qualifications
Completion of a formal post-secondary or similar.
Three years of work experience including experience dealing with office equipment and tools, and senior administrative/secretarial experience
Demonstrate advanced proficiency in Microsoft Office 365 and related web-based tools to efficiently produce, manage, and share information.
Prioritize and execute multiple tasks with urgency, effectively balancing competing deadlines and shifting priorities.
Build and maintain professional relationships while managing stakeholder expectations with tact, courtesy, and strong interpersonal awareness.
Safeguard sensitive information by upholding strict confidentiality and consistently demonstrating integrity.
Organize workflows and schedules with strong time management practices to optimize productivity and accuracy.
Communicate clearly and professionally, both verbally and in writing, to support effective collaboration and information exchange.
Exercise sound judgment and initiative with keen attention to detail while working independently to meet deadlines.
Collaborate within a team environment while adhering to organizational values, health and safety standards, and compliance requirements, including background screening protocols.
Compensation:
The target hiring range for this position is $44,535.40 to $55,673.80 with a maximum of $66,812.20.
Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
