Artlist is seeking a high-caliber, strategically-minded Chief of Staff & Executive PA to support our Chief Financial Officer (CFO) in our New York office. This is a "force multiplier" role designed for a finance-savvy professional who can navigate the complexities of a global creative technology company.

You will act as the CFO’s right hand, balancing high-level strategic project management with meticulous operational support. The ideal candidate isn't just an organizer; they are a gatekeeper and advisor who understands the language of P&Ls, audits, and investor relations.

Key Responsibilities:

1. Strategic Project Management & Follow-up

Drive Initiatives: Manage the end-to-end execution of special projects within the CFO area of responsibility (e.g., ERP implementations, budget cycle coordination, or M&A due diligence).

Accountability Partner: Track action items from CFO Team meetings . Ensure department heads meet deadlines for financial reporting and strategic milestones.

Briefings & Presentations: Prepare high-level briefing materials, decks, and financial summaries for the CFO ahead of Board meetings , exec meetings and executive leadership off-sites.

KPI Tracking: Design and maintain dashboards to track departmental OKRs and KPIs. Ensure the CFO has a real-time pulse on the company’s financial health.

Investor Materials: Draft and refine high-impact investor decks, "fact sheets," and talking points that translate complex financial performance into a compelling growth narrative.

2. Advanced Calendar & Operational Management

Strategic Scheduling: Manage a complex, high-volume calendar. Prioritize meetings based on fiscal year cycles (e.g., year-end audits, quarterly reporting, tax deadlines).

Global Coordination: Act as the primary bridge between the NY office and the global finance teams (including HQ), ensuring seamless communication across time zones.

Gatekeeping: Protect the CFO’s time by vetting requests, managing interruptions, and ensuring they are fully prepared for every engagement.

3. Financial Liaison & Reporting

Finance Literacy: Leverage your background to assist in synthesizing financial data for quick decision-making.

Vendor & Relationship Management: Manage relationships with external auditors, tax advisors, and banking partners on behalf of the CFO.

4. Travel & Logistics

Coordinate complex international and domestic travel, including visa requirements, ground transportation, and detailed itineraries that account for "prep time" between meetings.

Requirements

  • Experience: Minimum 5+ years of experience in an Executive Assistant or Chief of Staff role, specifically within a Finance department or a financial services firm (e.g., PE, VC, or Fintech).
  • Project Management: Proven ability to manage cross-functional projects using tools like Monday.com, Asana, or Jira.
  • Discretion: Absolute integrity and experience handling sensitive financial data and confidential corporate strategies.
  • Adaptability: A "no task too big or too small" mentality. You are as comfortable discussing EBITDA as you are fixing a scheduling conflict.
  • Communication: Exceptional written and verbal communication skills; ability to translate complex financial concepts into clear updates for the broader team.
