Executive Assistant to the CEO

Your Mission

The CEO has a lot on their plate. Your job is to make sure the important things don't fall through the cracks.

We're looking for an Executive Assistant to the CEO who can bring structure, organization, follow-through, and proactive support to a fast-moving organization. This is not a role where you'll wait to be told what to do. You'll anticipate needs, manage competing priorities, keep projects moving, and make sure the CEO walks into every meeting prepared.

If you're highly organized, naturally proactive, comfortable handling confidential information, and the person everyone relies on to "get it done," this could be a strong fit.

What You'll Own

Keep the CEO's calendar under control

• Manage and prioritize the CEO's schedule.
• Confirm meetings and ensure the CEO is prepared and on time.
• Provide a daily briefing of upcoming priorities and commitments.
• Identify and resolve scheduling conflicts before they become problems.

Make meetings actually matter

• Coordinate meeting logistics and preparation.
• Track decisions, action items, and follow-up.
• Make sure commitments made in meetings don't get forgotten.
• Coordinate with team members and stakeholders to keep follow-up moving.

Own communication and inbox management

• Manage internal and external communications professionally.
• Keep the CEO's inbox organized and ensure timely responses.
• Draft, review, and send communications on behalf of the CEO.
• Know what needs immediate attention, what can wait, and what should be delegated.

Take projects from idea to done

• Manage special projects from start to finish.
• Build timelines, coordinate stakeholders, and track deliverables.
• Identify obstacles and make adjustments without waiting for constant direction.
• Communicate project updates and ensure initiatives are executed at a high level.

Make the CEO's life easier

• Provide day-to-day administrative and organizational support.
• Coordinate travel, expenses, and other logistics.
• Help with both immediate priorities and longer-term planning.
• Handle confidential and sensitive information with discretion.
• Anticipate what the CEO will need before they have to ask.

What We're Looking For

• 2–4 years of office, administrative, executive assistant, or similar professional experience.
• Exceptional organizational skills and attention to detail.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities, projects, and deadlines simultaneously.
• High level of professionalism, discretion, and judgment.
• Proficiency with Microsoft Office and other relevant technology.
• Comfortable working in a fast-paced environment where priorities can change quickly.
• Strong follow-through—you don't need someone checking behind you to make sure things get done.
