Job Description

The Executive Assistant to the CEO provides high-level administrative and strategic support to the Chief Executive Officer of a chemical manufacturing company. This role requires exceptional organizational skills, discretion, and the ability to manage complex priorities in a fast-paced, highly regulated environment. The Executive Assistant serves as a trusted partner to the CEO, ensuring efficient operations, effective communication, and alignment across the executive leadership team. This role will be on site at the Woodlands, TX location.

This role also provides administrative support to the CFO and the Vice President Human Resources and General Counsel.

Primary Responsibilities:

Executive Support

  • Manage the CEO’s complex calendar, including scheduling meetings, travel arrangements, and prioritizing competing demands.
  • Prepare and organize materials for meetings, presentations, and executive briefings.
  • Draft, review, and manage correspondence on behalf of the CEO.
  • Track and follow up on key initiatives, deliverables, and action items to ensure timely execution.
  • Strategic & Operational Coordination

    • Support CEO in driving strategic initiatives across departments.
    • Collaborate with senior leadership to prepare reports, dashboards, and presentations for board meetings and executive reviews.
    • Assist with planning and execution of leadership meetings, town halls, and company-wide communications.
    • Coordinate special projects, ensuring alignment with business priorities.
    • Communication & Stakeholder Management

      • Serve as the primary point of contact between the CEO and internal/external stakeholders.
      • Facilitate communication across departments, including plant operations, regulatory teams, and corporate functions.
      • Act as liaison with building management for maintenance issues
      • Maintain strict confidentiality while handling sensitive business, personnel, and legal information.
      • Board & Corporate Governance Support

        • Coordinate board of directors meetings, including scheduling, logistics, and preparation of agendas and materials.
        • Maintain corporate records and assist with governance-related documentation.
        • Ensure compliance with internal policies and external regulatory requirements affecting executive operations.
        • Travel & Logistics

          • Arrange domestic and international travel, including detailed itineraries, meeting coordination, and expense reporting.
          • Coordinate logistics for offsite meetings, site visits, and industry events, as well as attending these meetings occasionally.
          • Administrative Excellence

            • Maintain organized filing systems (electronic and physical).
            • Manage expense reports, budgets, and vendor invoices related to the CEO’s office.
            • Continuously improve administrative processes and implement best practices.
            • Provide functional leadership to the headquarters administrative support team.
            • Other responsibilities as determined and assigned.

Job Requirements:

Education & Experience

  • Bachelor’s degree preferred (Business Administration, Communications, or related field).
  • 10+ years of experience supporting senior executives, preferably in manufacturing, chemical, or industrial environments.
  • Experience supporting a CEO or C-suite executive strongly preferred.
  • Skills & Competencies

    • Exceptional organizational and time-management skills with strong attention to detail.
    • Ability to manage multiple priorities and adapt in a fast-paced, dynamic environment.
    • Strong written and verbal communication skills.
    • High degree of professionalism, discretion, and emotional intelligence.
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with collaboration tools (e.g., Teams, SharePoint) preferred.
    • Ability to anticipate needs, think proactively, and solve problems independently.
Relocation is not available with this position.
