Job Description

We are seeking a highly accomplished Executive Assistant to the CEO to provide strategic, administrative, and operational support to the Chief Executive Officer and the Executive Office. This is a critical, high-impact role that requires exceptional judgment, speed, discretion, and the ability to operate seamlessly in a fast-paced, high-demand executive environment.

The ideal candidate is proactive by nature, detail-driven, highly organized, and capable of anticipating the CEO’s needs before they arise. This role is suited for someone who thrives under pressure, manages multiple priorities with precision, and upholds the highest standards of professionalism and confidentiality at all times.

Key Responsibilities

  • Manage and optimize the CEO’s calendar, including meetings, invitations, and complex travel arrangements.
  • Track and follow up on all requests, directives, and action items initiated by the CEO with internal and external stakeholders, ensuring timely execution.
  • Proactively remind and brief the CEO on pending matters requiring review, approval, or action.
  • Serve as a primary coordination and communication point between the CEO and internal/external parties.
  • Prepare high-quality meeting materials, executive briefs, agendas, and post-meeting follow-ups.
  • Maintain structured, well-organized records and ensure immediate access to critical information.
  • Continuously identify opportunities to enhance efficiency, workflow, and time management for the CEO.
  • Utilize AI and productivity tools (including ChatGPT) to streamline tasks, improve productivity, and support executive decision-making.
  • Coordinate closely with cross-functional teams to ensure alignment and smooth execution of priorities.
  • Demonstrate flexibility by working outside standard office hours, including evenings or weekends, when required by the CEO’s schedule.

Requirements

  • Based in Riyadh, Saudi Arabia, with the ability to work full-time from the office.
  • Full professional fluency in Arabic and English (spoken and written).
  • Bachelor’s degree preferred, with strong written and verbal communication skills.
  • Minimum 3 years of experience directly supporting a CEO, senior executive, or business owner.
  • Exceptional organizational skills, strong memory, and outstanding follow-up discipline.
  • Highly proactive; anticipates needs and takes initiative without waiting for instruction.
  • Proven proficiency in AI tools such as ChatGPT, Copilot, and other productivity technologies.
  • Ability to work with flexibility, including evenings or weekends when required.
  • Absolute discretion, professionalism, and commitment to confidentiality.
