Job Description

Job Purpose:

  • The Executive Assistant provides high-level executive and administrative support to the General Manager, Supply Chain & Sustainability. The role acts as a key liaison between the GM, the SCS leadership team, internal stakeholders and external partners, ensuring efficient coordination of schedules, meetings, travel, communications and departmental routines. The role requires strong discretion, ownership, attention to detail and business understanding to support the GM in managing priorities, following up on key actions and driving smooth day-to-day operations across the function.

Key Responsibilities:

  • Provide executive support to the SCS GM, including complex calendar management, meeting coordination, agenda preparation and timely follow-up on key actions.
  • Work closely with the GM to ensure timely awareness of upcoming commitments, key priorities, deadlines and business updates.
  • Manage travel arrangements, accommodation, logistics and expense claims for the GM in an accurate and timely manner.
  • Support SCS leadership meetings, town halls, workshops, business reviews and key department events, including logistics, materials consolidation and on-site coordination when required.
  • Assist the GM and domain leaders with departmental administrative processes, including purchasing requests, invoice follow-up, vendor coordination, contract routing and budget-related tracking.
  • Coordinate cross-functional communication and collaboration with internal teams such as Finance, P&O, Legal, TDS, Admin and other business divisions.
  • Support onboarding arrangements, training registration, team engagement activities and other people-related administrative coordination for the SCS team.
  • Maintain confidentiality and handle sensitive information with professionalism, sound judgment and discretion.
  • Handle ad hoc assignments proactively and efficiently, ensuring deadlines are met and follow-through is properly managed.

Person Specifications:

Academic / Professional Qualifications

  • Bachelor’s degree or above.

Work Experience

  • 5+ years of experience supporting senior executives, preferably in a multinational company or matrix organization.

Required Competencies

  • Strong proficiency in MS Office, especially Outlook, Word, PowerPoint and Excel.
  • Excellent coordination, communication and stakeholder management skills.
  • Fluent in verbal and written English and Mandarin; French language skills are a plus.
  • Highly organized, detail-oriented and able to manage multiple priorities in a fast-paced environment.
  • Demonstrated ability to be proactive, take initiative and exercise sound judgment, discretion and confidentiality.
  • Good business sense and ability to work effectively across functions and seniority levels.
  • Mature, flexible and resilient, with the ability to quickly learn and adapt to new situations.
