Job Description

JOB MISSION:

To support the Fashion Division General Manager in strengthening Fashion strategy, singularity and capabilities, and in setting the standard for Ultimate Luxury in Mainland China. This role goes beyond traditional secretarial support, acting as a trusted partner and facilitator to the GM by driving effective planning, coordination, communication and follow-up across the Fashion Division, as well as with cross-divisional, Regional and Global stakeholders.

Planning & Organizing

  • Act as a planning partner to the Fashion Division General Manager, ensuring priorities, meetings and activities are well structured and focused on business impact.
  • Own and manage the GM’s calendar and activity planning to optimize her time across strategic priorities, key stakeholders, division routines and people-related moments.
  • Plan and coordinate key Fashion meetings, leadership routines and senior leader visits, including agenda preparation, logistics, documentation and follow-up.
  • Support basic business information consolidation, data analysis and synthesis where needed, ensuring accuracy, confidentiality and attention to detail.

Stakeholder Management & Team Coordination

  • Partner with the GM to foster strong team spirit, collaboration and alignment across Mainland China Fashion teams.
  • Build effective relationships with key internal stakeholders and their teams to facilitate timely communication, coordination and follow-through.
  • Coordinate across divisional, cross-divisional, Regional and Global teams to support transformation priorities, reinforce connection and enable new ways of working.

Fashion Division Team Engagement

  • Support the GM during transition and transformation periods by helping the team stay connected, informed and engaged.
  • Help establish and maintain effective team governance, meeting cadence, team norms and working mechanisms.
  • Support team engagement and change communication initiatives with a collaborative and service-oriented mindset.

General Administrative Support

  • Manage the GM’s calendar, meeting scheduling and daily coordination to ensure work is carried out in a seamless, timely and efficient manner.
  • Manage travel arrangements and related administration, including visas, travel requests and supporting documentation.
  • Oversee departmental expense tracking and support accurate, timely processing of the GM’s T&E claims.
  • Maintain organized filing systems, both electronic and paper-based, and support document preparation, routing and signature processes with proper understanding of content and confidentiality.
  • Continuously identify more agile and effective ways of working, helping to streamline administrative and coordination processes.
  • Provide ad hoc support to the GM and Fashion teams as required, with discretion, flexibility and a strong collaborative spirit.

Requirements:

  • Solid experience supporting senior executives in multinational companies, with a proven track record of discretion, reliability and professionalism.
  • Strong team player with excellent interpersonal, communication and networking skills; able to build trusted relationships with stakeholders of different profiles.
  • Excellent planning, organizing and follow-through capabilities, with the ability to create impact through influence.
  • Open-minded, proactive and solution-oriented, with curiosity to explore more effective ways of working.
  • Demonstrates humility, empathy, mindfulness and strong service orientation.
  • Fluent spoken English; French is a plus.
  • Good written English and Chinese; translation capability is an advantage.
  • Proficient in Microsoft Office, including PowerPoint, Word and Excel.
