
We’re looking for an exceptional Assistant to the Founder who can help bring structure, speed, and execution to a fast-moving startup environment.
This is not a traditional admin role.
You’ll work directly with the founder across business operations, legal coordination, research, communications, and day-to-day execution. One hour you might be managing schedules and inboxes, the next you could be reviewing contracts, researching compliance requirements, building operational systems, or using AI tools to automate workflows.
We need someone highly organised, commercially aware, and comfortable operating in ambiguity.
What You’ll Be Doing
1. Executive Support
* Managing the founder’s calendar, meetings, scheduling, and travel arrangements
* Organising priorities and ensuring deadlines are met
* Managing inbox communications and responding on behalf of the founder and company daily
* Preparing documents, presentations, meeting notes, and follow-ups
2. Operations
* Improving internal workflows and identifying inefficiencies
* Building systems and processes that help the business scale
* Coordinating with external partners, freelancers, and internal team members
* Supporting operational projects across multiple departments
3. Legal & Contracts
* Reviewing contracts, agreements, NDAs, and legal documentation
* Coordinating with external legal partners where required
* Supporting contract administration and document management
* Researching regulatory requirements when expanding into new markets
4. AI & Automation
* Using AI tools to improve productivity across workflows
* Automating repetitive tasks using tools like ChatGPT, Claude, Zapier, Make, Notion AI, or similar platforms
* Supporting research, content drafting, workflow automation, and operational efficiency through AI tools
5. Research & Special Projects
* Conducting market, competitor, and business research
* Supporting strategic initiatives for the founder
* Solving problems quickly and independently
Requirements
What We’re Looking For
* Previous experience as an Executive Assistant, Personal Assistant, Chief of Staff, Operations Associate, or similar startup role
* Strong operational mindset - you enjoy building systems and fixing inefficiencies
* Experience handling contracts, legal documents, or working alongside legal teams
* Strong understanding of AI tools and automation platforms
* Highly proactive - you solve problems without waiting to be told
* Experience working directly with startup founders
* Legal education/background
* Experience in SaaS, tech, healthcare, or startup environments
* Experience managing remote teams or global contractors
